About the position

The Grants and Contracts Associate at Northern Illinois University plays a crucial role in managing the financial aspects of sponsored agreements. This position involves budgeting, accounting, compliance, and cash management, ensuring that all financial activities align with university policies and sponsor regulations. The associate will work closely with Principal Investigators and department staff to facilitate grant submissions and manage awarded funds effectively.

Responsibilities

  • Review grant expenditures and assert final approval authority over spending requests.
  • Reconcile payrolls and monitor restricted budget categories.
  • Prepare quarterly and annual fiscal reports and correct accounting errors.
  • Make daily compliance judgments by interpreting and enforcing terms of agreements from awarding agencies.
  • Ensure costs applied to sponsored projects are allowable and consistent with policies.
  • Advise Principal Investigators on regulations and proper processing methods.
  • Establish new grant accounts and prepare necessary documents in PeopleSoft and InfoEd systems.
  • Analyze financial reports and prepare University invoices to bring in revenue.
  • Close accounts by finalizing revenue and expenses and preparing final fiscal reports.
  • Perform other related duties as assigned by the Assistant Director.

Requirements

  • Bachelor's degree in business administration, accounting, finance, economics or a related field.
  • Knowledge of federal, state, and funding agencies policies and procedures applicable to grants and contracts administration.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to work effectively with a diverse community and provide technical advice to faculty and staff.
  • Ability to analyze data and formulate conclusions.

Nice-to-haves

  • Master's degree in a related field.
  • CPA, CRA, or CFRA certification.
  • Experience in research administration in a higher education setting.
  • Post-award grants experience including financial reporting and cost accounting.
  • Knowledge of PeopleSoft, InfoEd, and OnBase.
