About the position

The Grants and Contracts Specialist at the University of Virginia's School of Engineering and Applied Science plays a crucial role in supporting the operations of Pre Award Research Administration. This position involves collaborating with various stakeholders to provide high-quality customer service to research faculty and staff, assisting in the proposal development and submission process, and ensuring compliance with sponsor guidelines.

Responsibilities

  • Assist in proposal development and submission process for Engineering research faculty, staff, and students.
  • Prepare and maintain key documents such as Current & Pending files, ensuring accuracy and compliance with sponsor guidelines.
  • Collaborate on the development of proposal budgets and detailed budget justifications, aligning with sponsor and institutional policies.
  • Assist in drafting cover letters and other supporting documents required for proposal submissions.
  • Help prepare Letters of Intent and pre-proposal documentation in coordination with faculty and research teams.
  • Support the preparation and submission of entry-level proposals to federal, non-federal, and other external sponsors using electronic submission systems.
  • Assist in responding to sponsor requests for additional information, including 'Just in Time' requests and other post-submission inquiries.
  • Participate in process improvement initiatives and contribute to team-based projects aimed at enhancing operational efficiency.
  • Perform other related duties as assigned to support the Pre-Award team's objectives.

Requirements

  • Associate's degree with at least 2 years of experience related to finance, accounting, and other administrative and data-focused functions.
  • Demonstrating a high level of attention to detail and organizational skills.
  • Knowledge of the Microsoft Office suite of applications and the ability to learn how to use UVA's financial, research and/or student systems.

Nice-to-haves

  • Bachelor's degree or higher preferred.
  • Proficiency in using UVA's Workday and Huron systems.

Benefits

  • Salary range of $50K to $55K per year commensurate with education and experience.
  • Exempt level, benefited position.
