About the position

The Ground Operations Coordinator at Atlas Air is responsible for overseeing and ensuring the smooth execution of all ground handling and service functions for Charter and ACMI offline operations. This role is critical in confirming that all necessary services, including aircraft fuel operations, crew and passenger catering provisions, aircraft deicing services, passenger handling, and aircraft cabin services, are in place according to established standard operating procedures. The coordinator will track fuel services for both passenger and cargo aircraft at various stations, ensuring that all operations are conducted efficiently and in compliance with regulations. In addition to tracking fuel services, the Ground Operations Coordinator will communicate any schedule changes to fuel suppliers and plane vendors as needed. They will also maintain the Approved Vendor List (AVL) to ensure compliance with fuel and deicing activities. As the primary point of contact for all inquiries related to the Ground Operations department, the coordinator will manage a 24/7 phone line, providing timely responses to any operational questions or concerns. The role involves assisting in the setup and revisions of official documents provided to designated vendors for each charter or operation. This includes coordinating with vendors to ensure that all necessary services are rendered. The coordinator will also be responsible for presenting valid General Declaration and Landing Rights forms to U.S. Customs & Border Patrol for approval on international flights, as well as obtaining necessary permissions from Military Base Operations prior to operations. Maintaining the department's database with pertinent information related to General Declaration and Landing Rights filing is also a key responsibility. The Ground Operations Coordinator will assist in coordinating with main-line stations regarding supplies and stock levels required for flights and operations, and will support other departments as needed. Additional duties may be assigned as required, making this a dynamic and multifaceted role within the organization.

Responsibilities

  • Confirm aircraft fuel operations, crew and passenger catering provisions, aircraft deicing services, passenger handling, and aircraft cabin services are in place according to standard operating procedures.
  • Track fuel services on passenger and cargo aircraft per station.
  • Send updates to fuel supplier and into plane vendor of any schedule changes as needed.
  • Track Approved Vendor List (AVL) to ensure compliance with fuel and deicing activities.
  • Serve as point of contact for all inquiries for the Ground Ops department via 24/7 phone line.
  • Assist in the initial setup and revisions of official documents provided to the designated vendors per charter and/or operation.
  • Coordinate with vendors to ensure services are in place and rendered.
  • Present valid General Declaration and Landing Rights form to U.S. Customs & Border Patrol to obtain approval as required on International flights.
  • Present completed Aircraft Prior Permission Required form to Military Base Operation to obtain approval as required prior to date of operation.
  • Maintain department's database with information pertinent to General Declaration and Landing Rights filing.
  • Assist in the coordination with main-line stations regarding supplies and stock levels required for flights/operations.
  • Support all other departments as needed.
  • Perform other duties as assigned.

Requirements

  • BA in Aviation required or equivalent ground handling/airline operations experience.
  • Minimum of one year airline experience or equivalent.
  • Proficiency in Word, Excel, Outlook, and PowerPoint.
  • Good written and verbal communication skills.
  • Ability to multitask and coordinate time-sensitive duties.
  • Ability to meet the demands of varied responsibilities and deadlines.
  • Demonstrated ability to work in a team-based environment.
  • Outstanding customer service skills.
  • Ability to understand Cargo and PAX ground handling, deicing, fueling, and catering procedures.
