About the position

The Group Benefits Coordinator will provide exceptional service to municipal accounts in managing health and welfare benefits eligibility. This role involves establishing protocols for training, processing eligibility, and serving as a liaison between clients and vendors, ensuring accurate and efficient management of employee benefits.

Responsibilities

  • Establish protocol for training department heads on the online Enrollment & Eligibility program.
  • Establish protocol for vendor/carrier payment initiation and tracking.
  • Process health and welfare plan eligibility for employees and retirees based on client policies and procedures.
  • Assist actives and retirees with their eligibility status and benefit-related inquiries via phone and email.
  • Serve as a liaison between the client and its employees/retirees with vendors, administrators, and insurance carriers.
  • Maintain complete and accurate employee information within the data management system.
  • Maintain detailed procedure manuals and act as a COBRA liaison with the current vendor.
  • Address claim and membership issues and manage Medicare eligibility and reimbursements.
  • Attend periodic meetings to monitor system success and address outstanding issues.
  • Analyze and communicate with HR, Insurance Carriers, and Vendors to resolve issues and obtain missing enrollment information.
  • Prepare monthly reports documenting all enrollment activities.
  • Provide demographic and special status eligibility information for further processing.
  • Assist/conduct annual benefit open enrollment activities, including announcement letters and general assistance.

Requirements

  • Three or more years of benefits administration experience.
  • Bachelor's degree preferred.
  • Data mapping experience preferred.
  • Ability to manage multiple aspects of eligibility administration.
  • Experience in health, life, and disability plan administration, claim and billing resolution issues.
  • Enrollment background is a plus.
  • Comprehensive understanding of HIPAA, COBRA, and knowledge of Medicare and other legislative mandates.
  • Experience with Unions and Collective Bargaining Agreements is a plus.
  • Experience working with retirees is a plus.
  • Proficiency in MS Office applications, especially Excel and Word.
  • Excellent organizational, communication, and customer service skills.
  • Attention to detail to ensure tasks are done correctly the first time.
  • Ability to work well individually and as part of a team.
