About the position

The Guest Services Operations Coordinator at Vinson Hall LLC is responsible for supporting the daily operations of concierge, security, and transportation services. This role involves training and mentoring staff, managing guest inquiries and complaints, and ensuring compliance with safety standards. The coordinator plays a key role in enhancing the guest experience by addressing concerns, scheduling guest rooms, and maintaining resident rights and confidentiality.

Responsibilities

• Support daily operations of concierge, security, and transportation services.
• Train and mentor concierge, security, and transportation staff.
• Manage guest inquiries, complaints, and issues, ensuring timely resolutions.
• Meet with new residents to address questions or concerns upon moving in.
• Assist with guest room scheduling and handle guest services including complaints.
• Ensure compliance with emergency response and preparedness protocols.
• Respond to fire safety system alarms and coordinate with maintenance as needed.
• Report unusual incidents or breaches of security and complete necessary documentation.
• Coordinate parcels/packages including resident and staff mail.
• Maintain a petty cash box for selling postage stamps and providing change.
• Conduct periodic customer service skills training sessions for staff.
• Communicate with the activity team regarding special events requiring transportation.
• Maintain resident rights and confidentiality at all times.

Requirements

• High school diploma or equivalent.
• Strong organizational skills.
• Excellent verbal and written communication skills.
• Superior interpersonal and customer service skills.
• Ability to work weekends, evenings, and holidays.
• Willingness to provide coverage in the absence of scheduled team members.
