About the position

The Harborview Executive Assistant position within Patient Care Services at the University of Washington is a vital role that provides executive-level assistance and administrative support to the Patient Care Services Administrators. This position is based at Harborview Medical Center, which is renowned for its comprehensive healthcare services, including being the region's only Level I Trauma and verified burn center. The Executive Assistant will be responsible for ensuring effective department operations by providing high-level support in a highly confidential and professional manner, utilizing a high degree of tact, discretion, diplomacy, and independence. The role requires thriving in an environment with frequent and rapidly changing deadlines, as well as supporting nursing recognition events such as the Daisy Award and Nurse Week Celebration. The position is 100% onsite and requires a full-time commitment, working weekdays during the day shift. The Executive Assistant will handle complex scheduling, draft well-written responses to routine correspondence for HMC executives and administrators, and provide ad hoc project and program support assignments from the Chief Nursing Office and HMC Administration. Additionally, the role involves reviewing inpatient budgets and providing high-level analysis of variances to senior leadership, maintaining records, preparing reports, tracking expenditures, and developing communication materials and presentations. The Executive Assistant will also serve as the primary point of contact to ensure that information, process, or policy updates are communicated effectively to the appropriate staff and provider audiences. This position is crucial for the smooth operation of the department and requires a proactive approach to project and budget support, particularly for the expansion of progressive mobility at HMC.

Responsibilities

  • Provide executive-level assistance and administrative support to Patient Care Services Administrators.

Requirements

  • Bachelor's Degree.
  • Prior experience in a large academic center supporting multiple administrators.
  • Demonstrated experience of progressively responsible administrative/project coordination for a large, complex organization and supporting the CNO office and HMC Administrators.
  • Attitude, demeanor, and commitment that reflects UW Service Culture Guidelines.
  • Equivalent experience may substitute for degree requirement.
