About the position

Acadia Care Group is currently seeking an energetic, qualified, and professional Office Assistant to join our Gilbert Team. We are a Gilbert-based DDD Agency that specializes in Home and Community Based Services (HCBS), focusing on Respite Care, Habilitation Care, and Attendant Care Services. Our mission is to provide our Clients, Providers, Employees, and Parents with the best services possible. As an Arizona Division of Developmental contracted agency, we are uniquely designed to help families with Developmental Delays related disorders in their lives. In this role, your primary duties will include answering phone calls, text messaging, emailing, and assisting our Parents, Guardians, and Providers. You will also be responsible for attending to voicemail and email inquiries, as well as participating in recruitment and community events. This position requires a friendly, well-organized self-starter who is looking to make an impact in others' lives and the Community. You will be expected to communicate effectively with various stakeholders and ensure that all interactions are handled professionally and efficiently. The Office Assistant will also assist in organizing Habilitation Care Training, conduct training and New Hire Orientations, and manage Pre-Service orientation for Clients and Parents/Guardians. You will be responsible for scheduling, conducting, and following up with interviews, as well as creating bi-weekly reports to ensure competitive rates. Additionally, you will research similar ads for pay increases and assist in event setup for job fairs, community events, and fundraising campaigns.

Responsibilities

  • Answer phone calls and emails throughout the day.
  • Troubleshoot and solve any problems that arise for parents or providers.
  • Support people who walk into the office.
  • Communicate with Providers, or forward to the correct department as needed.
  • Ensure that items that are currently in use are up-to-date and free of errors.
  • Assist in organizing Habilitation Care Training.
  • Conduct training and New Hire Orientations.
  • Conduct Pre-Service orientation for Clients and Parents/Guardians.
  • Schedule, conduct, and follow up with interviews.
  • Assist with answering emails.
  • Research similar ads for pay increases.
  • Create a report bi-weekly to ensure competitive rates.
  • Search for events, job fairs, community events, and fundraising campaigns.
  • Assist in event setup.

Requirements

  • Minimum 1 year experience working with DDD Clients.
  • Minimum 1 year experience working for an Arizona HCBS Agency.
  • Excellent verbal and written communication skills.
  • Available for occasional nights and weekends.
  • Excellent organizational, time management, and interpersonal skills.
  • Ability to speak Spanish fluently and professionally strongly preferred.
  • Knowledgeable in Microsoft Office applications.
  • Level One Fingerprint Clearance Card (Required).
  • First Aid / CPR Certification (Required).
  • Article 9 Certificate (Required).

Nice-to-haves

  • Experience working with people with developmental disabilities (Preferred).
