About the position

The Head Administrative Assistant - Junior High is responsible for overseeing and providing comprehensive administrative and clerical support within the Highland Junior High School. This role involves managing office workflows, greeting visitors, assisting school leaders, and ensuring high levels of customer service for parents, students, and staff. The position requires a proactive approach to various administrative tasks, including financial management, communication, and coordination of school activities.

Responsibilities

  • Instruct and maintain the flow of work for the assigned office staff and ensure high levels of customer service.
  • Greet visitors and direct them to the appropriate personnel.
  • Dispatch maintenance personnel and maintain maintenance logs.
  • Distribute credit cards to staff, monitor purchases, and reconcile monthly statements.
  • Assist the Principal with hiring processes and submit mileage sheets to the Business Office.
  • Review and verify monthly teacher absence reports and coordinate substitute coverage.
  • Monitor communication systems and follow security procedures for staff and student safety.
  • Answer telephones, provide information, and route messages to staff.
  • Ensure compliance with financial policies and orient new employees on cash handling procedures.
  • Compile and prepare reports for Federal, State, and district agencies.
  • Supervise students sent to the office and assist with registration processes.
  • Prepare teacher lists and class schedules, maintaining updates throughout the year.
  • Oversee inventory reports and maintain key inventory control.
  • Approve bus pass applications and manage student records.
  • Open, read, and route incoming mail/email, and manage document distribution.
  • Receive payments, make bank deposits, and maintain financial records.
  • Utilize word processing, spreadsheet, and database software for administrative tasks.
  • Record balances for students and contact parents for unpaid balances.
  • Handle confidential information and provide clerical support for the Principal.
  • Maintain accurate budget accounts and compose routine correspondence.
  • Update student records in the SIS and manage attendance and grades.
  • Schedule appointments and manage the school calendar.
  • Maintain and disperse student medications and manage visitor screening.
  • Compile statistical information and maintain related databases.
  • Schedule meetings and record minutes as assigned.
  • Prepare outgoing mail and produce information through various data management tasks.
  • Order and stock office supplies, process purchase orders, and manage invoices.
  • Complete inventory checks on equipment and textbooks.
  • Supervise office equipment maintenance and arrange for repairs as needed.
  • Assist in developing and distributing information packets for students and parents.
  • Participate in school activities, fundraisers, and special events, providing support as needed.

Requirements

  • High School Diploma or equivalent.
  • Three years of related experience.
  • Knowledge of bookkeeping and proficiency in typing, computers, and calculators.
