About the position

The Nueva School is seeking a reliable and organized individual to join its health team as a Health & Administrative Aide. This part-time position, requiring 20-24 hours per week, involves working closely with school nurses to provide essential administrative support and assist with basic first aid for students, faculty, and staff who may be sick, injured, or in need of medical or emotional support during the school day. The role requires flexibility to work across both campuses, Hillsborough (PK-8th grade) and San Mateo (9th-12th grade), ensuring a safe environment for all. Responsibilities include administering first aid, notifying the school nurse and families of serious health issues, recording vital signs, maintaining health records, and managing the health office's inventory. Candidates should possess strong organizational and multitasking skills, excellent communication abilities, and a commitment to maintaining confidentiality. A valid driver's license and reliable transportation are required, along with CPR and First Aid certifications. Responsibilities

  • Provide basic first aid and care to sick/injured individuals and administer authorized medications under the guidance of the school nurse.
  • Notify the school nurse, staff, and families regarding serious injuries or illness in a timely manner.
  • Contact EMS/911 in emergency situations as needed.
  • Call parent/guardian to arrange early pickup for a student who is ill and needs to be taken home.
  • Take and record student vital signs (temperature, BP, HR, SPO2, RR) as directed by the school nurse.
  • Record daily health office visits, medications administered, and health concerns in the health office's electronic log.
  • Complete incident/injury report forms in a timely manner per school protocol.
  • File/organize student immunization records; maintain and update medical, emergency, and other relevant health information in a HIPAA and FERPA compliant manner.
  • Cover the health office independently when the school nurse is in a meeting or off campus.
  • Provide assistance to the school nurse during emergency situations.
  • Distribute and collect student medications, emergency information forms, and first aid kits before and after field trips or overnight trips.
  • Maintain and replenish first aid kits.
  • Maintain a clean and organized health office; monitor inventory and notify school nurses as needed to reorder supplies.
  • Perform other related duties as assigned.
  • Maintain CPR and First Aid certifications; complete yearly mandated compliance training in a timely manner.

Requirements

  • High school diploma or equivalent required.
  • Valid license or certification as a medical assistant, certified nursing assistant, or health aide in California preferred.
  • Training or college coursework in nursing, health, biology, physiology, or related fields is highly desirable.
  • Previous experience working with school-age children in a school health office, pediatric clinic, or health and wellness setting.
  • Current CPR, AED, and First Aid certification or willingness to complete certification.
  • Current TB clearance required.
  • Strong computer skills (Google, Microsoft, and other relevant software application experience preferred).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills; ability to work effectively as part of a team.
  • Ability to develop positive working relationships and communicate with administration, staff, and community members.
  • Demonstrate ability to use good judgment and maintain confidentiality.
  • Must have a valid driver's license and reliable transportation.
