About the position

The Lead Health Information Associate at RAYUS Radiology is responsible for overseeing the management of medical records, ensuring that all record requests from various stakeholders are fulfilled accurately and efficiently. This role involves supervising a team, providing training, and ensuring compliance with HIPAA guidelines while delivering high-quality service to patients and referring physicians. The position is hybrid, requiring both remote work and on-site presence in Saint Louis Park, MN, with a schedule of Monday to Friday and occasional Sunday shifts.

Responsibilities

  • Ensure all incoming and outgoing medical report requests are processed daily.
  • Answer telephone requests for patient files from referring physician offices and patients.
  • Prepare daily duplicates and reports for delivery by courier services.
  • File and organize courier lists of outgoing films and reports.
  • Ship items leaving the clinic using preferred shippers as needed.
  • Find and retrieve outside films for doctors, technologists, and research.
  • Communicate with attorneys and insurance companies regarding patients.
  • Communicate with patients to ensure they receive requested records.
  • Follow all HIPAA guidelines for the release of information.
  • Check department voice mail and email in a timely manner.
  • Distribute reports to various interoffice locations.
  • Coordinate the training and onboarding of new associates.
  • Assist in the hiring process for new associates.
  • Lead regular team meetings and associate one-on-ones.
  • Monitor and approve timecards.
  • Initiate and participate in annual performance evaluations and development of associates.
  • Help develop associate schedules to ensure appropriate staffing levels.
  • Evaluate workflow and implement process improvements for the team.
  • Support associates to ensure the highest level of patient satisfaction.
  • Complete other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Working knowledge of Microsoft Office.
  • Data entry experience.
  • Proficient with using computer systems and typing.
  • 3+ years of medical records experience with the ability to coach and train associates.

Nice-to-haves

  • Previous supervisory or leadership experience in an office environment.
  • Bilingual.
