About the position

The Health Information Specialist and Template Editor at the University of Michigan provides essential medical record support in an academic administrative setting. This role involves utilizing technical and business vocabulary, managing complex billing and referral work queues, and ensuring effective communication with patients and staff. The specialist will also oversee MiChart responsibilities, coordinate schedules, and provide clerical support, contributing to the overall efficiency of the clinic operations.

Responsibilities

  • Provide medical record support in an academic administrative setting.
  • Utilize technical and business vocabulary and detailed knowledge of University computer systems.
  • Create referral shell requests via MiChart for new patient outpatient consult requests routed from fax server.
  • Image all incoming outside medical records in MiChart.
  • Upload all outside radiology CDs into Life Image system.
  • Respond to inquiries regarding sensitive or confidential matters.
  • Obtain and track medical records for clinic appointments.
  • Provide office and backup support service as well as office coverage.
  • Maintain responsibility for MiChart grids and manage complex billing and referral work queues.
  • Serve as template editor, including provider template submission and changes.
  • Run MiChart reports and analyze as needed.
  • Oversee assigned MiChart In-Basket and coordinate faculty schedules.
  • Maintain Resident staffing schedules and detailed scheduling requirements for provider templates.
  • Make complex scheduling decisions and coordinate across departments.
  • Provide room allocation for urgent and routine add-on clinics.
  • Process provider time off requests and obtain pre-appointment records.
  • Manage clinical databases and respond to patient concerns, questions, and complaints.
  • Maintain supplies in the department and prepare patient education materials.
  • Serve as a mentor for Patient Services Assistants and Associates and assist in onboarding new team members.
  • Manage external relationships with Outreach clinics and participate in team/clinical meetings.

Requirements

  • High School diploma or equivalent education.
  • A minimum of three to four years' clerical experience necessary.
  • Knowledge of PCs and desktop software.
  • Proficient user in Microsoft Word, Excel, and PowerPoint.
  • Basic experience with e-mail systems and calendaring systems.
  • Proficient in grammar, spelling, and punctuation.
  • Basic medical terminology competency is necessary.
  • Demonstrated friendly, warm, articulate telephone manner with a clear, well-modulated speaking voice.
  • Strong interpersonal and communication skills are necessary.
  • Ability to manage stress effectively.
