About the position

The HealthOne Agency Office Administrator is responsible for supporting day-to-day office operations, providing administrative assistance, and helping ensure the efficient functioning of the Agency. This role involves a variety of tasks, including policy management, carrier relations, processing agent of record changes, handling client inquiries, and managing commission processing and reconciliation. The Administrator plays an important role in maintaining smooth office operations and contributing to positive relationships with clients and insurance carriers.

Responsibilities

  • Maintain and update client policy records, ensuring accuracy and compliance with industry standards
  • Process policy renewals, cancellations, and amendments in a timely and efficient manner
  • Serve as point of contact for insurance carriers, addressing any queries, concerns, or issues related to policy management, claims, and coverage options
  • Build and maintain strong relationships with carrier representatives
  • Efficiently process agent of record changes, ensuring accurate and timely updates to client accounts
  • Communicate with carriers to confirm changes and ensure all necessary paperwork is completed
  • Provide exceptional customer service to clients, addressing inquiries and resolving any issues related to policies or services
  • Ensure a positive and professional experience for all clients
  • Assist with the accurate processing and tracking of commissions, ensuring timely payments and reconciling discrepancies
  • Work closely with the finance team to ensure that commission records are accurate and up to date
  • Assist with general administrative tasks such as scheduling, document management, data entry, and client communications to support the efficient operation of the office
  • Ensure all policies, procedures, and operations comply with agency standards, industry regulations, and legal requirements
  • Provide reports and updates as required
  • Maintain regular and predictable attendance
  • Consistently demonstrate compliance with HIPAA regulations, professional conduct, and ethical practice
  • Encourage and promote Company culture throughout the organization
  • Other duties as may be assigned

Requirements

  • Associate's degree in business administration, Insurance, or a related field preferred
  • Minimum of 3-5 years of experience in an office administration role, preferably in an insurance or healthcare setting
  • Active Georgia License in Accident/Sickness/Life Insurance preferred
  • Familiarity with medical insurance terminology, policies, and claims processes is highly preferred
  • Strong organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment
  • Excellent communication skills, both written and verbal, with a customer-oriented approach
  • Proficiency in office software (Microsoft Office Suite, CRM systems, etc.) and the ability to learn new software programs quickly
  • Strong attention to detail and accuracy, with the ability to handle confidential information
  • Ability to work independently and as part of a team, demonstrating a positive attitude and strong work ethic
