About the position

The position involves maintaining medical records and performing clerical duties in a healthcare facility. The role ensures proper management of patient charts and compliance with information release guidelines, while also providing support in scheduling and communication with patients and staff.

Responsibilities

  • Maintain files of medical records and perform clerical duties as required.
  • Ensure proper maintenance of patient charts/records.
  • File and retrieve medical records in appropriate files for rapid retrieval.
  • Prepare lab shipments and file results.
  • Utilize electronic health record system for inquiries, data entry, and report generation.
  • Answer phones and greet visitors and patients, assisting with scheduling.
  • Monitor and distribute incoming mail, both email and postal delivery.
  • Maintain inventory of facility supplies and replenish as needed.
  • Compile and maintain medical records of in-center and home patients according to policies and procedures.
  • Ensure patient confidentiality is maintained at all times.
  • Store or dispose of obsolete files according to compliance procedures.
  • Assist with daily validation reports/process.
  • Coordinate facility accounts receivable and payable functions, including creating POs and scanning documents.
  • Prepare lab slips and tube labels for blood work.
  • Pack boxes for shipment to laboratories as required.
  • Assist in data collection for facility reports and month-end reporting requirements.
  • Audit records for compliance with medical records standards.
  • Maintain accurate records of hospitalization and patient travel.
  • Prepare medical records for facsimile or mail related to various needs.
  • Organize travel for patients by providing requested medical records.
  • Coordinate transient patient paperwork and transfer placements.
  • Confirm admissions paperwork is completed and sent to designated departments.
  • Assist with medical appointment referrals and scheduling.
  • Assist with transportation coordination and referrals.
  • Scan medical records into Document Imaging program as needed.
  • Ensure data entry is completed for government reporting.

Requirements

  • High School Diploma required.
  • 0 - 1 year's related experience.
  • Computer skills, specifically knowledge of word processing applications.
  • Good communication skills, both verbal and written.
