About the position

The position involves providing secretarial and administrative support of a confidential nature to management, relieving them of clerical and administrative tasks. The role includes standard administrative functions such as managing calls, scheduling appointments, maintaining calendars, and organizing meetings, as well as managing filing systems and preparing various documents.

Responsibilities

  • Provide a broad range of secretarial and administrative support under general supervision.
  • Execute complex and confidential administrative assignments.
  • Relieve management of clerical work and business details as necessary.
  • Set up and maintain the official department filing system and records management.
  • Prepare memos, correspondence, agendas, minutes, and policy explanations.
  • Collect, compile, and analyze information as required by managers.
  • Assist in department reporting requirements and form completion.
  • Assemble budgets and track budget expenses and variances.
  • Pay and track invoicing.
  • Perform standard administrative functions such as screening calls, opening mail, and scheduling appointments.
  • Organize travel arrangements and complete expense reports.
  • Interface with various levels of management and external customers.
  • Serve as a point of contact for other departments such as IT and HR.
  • Assist with various projects as assigned by the direct supervisor.

Requirements

  • High School Diploma required; some specialized secretarial training preferred.
  • 1 - 2 years' related experience in administrative support.
  • Knowledge of business and technical vocabulary.
  • Familiarity with standard business concepts, practices, and procedures within administrative support.
  • Basic reasoning skills.
  • Knowledge of computer software such as word processing, spreadsheet, presentation, and database programs.
  • Understanding of organizational operations and procedures.
