About the position

The High School Administrative Assistant plays a crucial role in supporting the administrative functions of Randolph High School. This position involves overseeing daily secretarial tasks, maintaining student records, and serving as a liaison among students, staff, parents, and the community. The assistant is responsible for ensuring smooth communication and organization within the school environment.

Responsibilities

  • Oversee, coordinate, and perform day-to-day secretarial and administrative functions at Randolph High School.
  • Provide information regarding school and district policies and procedures while maintaining confidentiality.
  • Prepare, maintain, and update student records related to attendance, discipline, health, and other areas as assigned.
  • Enter, maintain, and update data in various databases, including IPASS, to compile data and produce reports.
  • Provide secretarial assistance to administrators by composing, typing, and editing various documents.
  • Utilize the all-call notification system to alert parents of emergency situations.
  • Make arrangements and prepare materials for meetings and in-services, and maintain the calendar for the administrative team.
  • Assist in coordinating district and state testing and assessment for the school site.
  • Maintain and record student attendance, including daily calls to parents regarding absences.
  • Manage the school site registration process and assist parents with enrollment forms.
  • Provide support to staff by distributing necessary student information and preparing reports.
  • Prepare and compile various district reports according to established timelines.
  • Manage the substitute process, including monitoring the sub-calling system and preparing substitute folders.
  • Supervise students sent to the office for disciplinary actions and assist with behavior reports.
  • Perform health-related duties in the absence of health office staff, including administering first aid.
  • Oversee the preparation of school purchase orders and act as the primary contact with the Finance office.
  • Operate office equipment and arrange for repairs as needed.
  • Train and provide work direction to office staff and volunteers as necessary.

Requirements

  • High school diploma or GED is required.
  • Experience in a PK-12 school environment is preferred.
  • Strong computer skills and knowledge of specific software programs are necessary.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Excellent organizational and communication skills.
