About the position

The HIM Document Imaging Coordinator is responsible for ensuring that all patient health information is accurately stored in the electronic medical record imaging system. This role involves transporting, prepping, and quality checking paper documentation for scanning and indexing, as well as validating and correcting data integrity. The coordinator also reviews documents for compliance with standard guidelines and manages requests for information while promoting positive customer relations in a fast-paced environment.

Responsibilities

  • Retrieve patient information to support patient care, ensuring prompt service.
  • Ensure each medical record document is correctly identified and labeled with the patient's name, medical record number, and account number.
  • Remain current with HIPAA privacy policies and procedures related to medical records.
  • Log requests, request status, and information released into the electronic Release of Information system.
  • Prepare documents for conversion, verifying accurate patient identifiers.
  • Utilize scanning equipment to convert documents into the Electronic Health Record, including calibration and cleaning of equipment.
  • Electronically index documents in the imaging system while conducting quality checks.
  • Perform and monitor QA processes for all scanned documents, meeting quality and productivity standards.
  • Review all scanned documents to ensure compliance with standard guidelines and report any issues.
  • Prepare scanned documents for off-site storage, ensuring proper labeling and organization.

Requirements

  • High School diploma or equivalent.
  • Ability to solve problems accurately and independently, demonstrated by passing a basic skills test with a minimum score of 80%.
  • Ability to input and retrieve information from a computer and demonstrated typing competency of 40 WPM.
  • Effective self-motivation and interpersonal skills.

Nice-to-haves

  • Currently enrolled in a CAHIIM approved program.
  • Knowledge of medical terminology.
  • Knowledge of current health information technology and healthcare trends.
  • 1 year experience in health information management or comparable experience.
