About the position

As the HIM Team Lead at R1, you will play a crucial role in overseeing the daily operations of the Health Information Management (HIM) department. Your primary responsibility will be to assist in executing R1 Middle Revenue Cycle initiatives at client sites, ensuring that department performance aligns with productivity, quality, and compliance expectations. You will be involved in managing medical records processes, which include retrieval, preparation, scanning, indexing, and quality review of paper documents. This position requires a detail-oriented and organized individual who is passionate about handling sensitive information. In this role, you will utilize your experience in navigating multiple systems to collect patient information and enter it into various computer systems. Your excellent communication and interpersonal skills will be essential as you interact with patients, physicians, and their staff, addressing any questions or concerns they may have. The HIM Team Lead must demonstrate intermediate proficiency in Microsoft Word, Excel, and Outlook, along with strong written and verbal communication skills. You will need to work well both independently and as part of a team, prioritizing tasks and multitasking effectively in a fast-paced, high-volume environment while making sound decisions. This is a full-time position requiring 40 hours of work per week, Monday through Friday, at the Ascension Borgess Medical Center in Kalamazoo, MI. The HIM Team Lead must be up to date on all vaccinations, including the annual flu shot, and will undergo a background check and drug screening. As an HIM Team Lead, you will be responsible for maintaining and monitoring HIM controls and computer systems, scheduling daily assignments, evaluating associate performance, and providing ongoing training. You will interpret policies and procedures to ensure compliance and quality, support client leaders in implementing best practices, and provide detailed analysis and reports to both clients and R1 leaders. Additionally, you will handle chart retrieval, check-in, reconciliation, and follow-up of missing documentation, as well as perform data entry and maintain updated information in various data systems. Your role will also involve exemplifying caring and compassionate customer service to enhance the patient experience.

Responsibilities

  • Assist with the overall supervision of daily operations in the HIM department.
  • Execute R1 Middle Revenue Cycle initiatives at client sites.
  • Ensure department performance is consistent with productivity, quality, and compliance expectations.
  • Oversee and assist with medical records processes including retrieval, preparation, scanning, indexing, and quality review of documents.
  • Maintain and monitor HIM controls and computer systems for the assigned area.
  • Schedule daily assignments and evaluate performance of associates.
  • Submit and monitor quality and quantity of work for assigned areas, performing supervisory functions and providing ongoing training as needed.
  • Interpret policies and procedures for associates to ensure quality and compliance.
  • Provide direction and support to client leaders to implement Best Practices within the middle of Revenue Cycle.
  • Provide detailed analysis and reports to client and R1 Leaders.
  • Perform chart retrieval from all patient care areas.
  • Handle chart check-in, reconciliation, and follow-up of missing documentation.
  • Prep, scan, index, and validate quality control of all medical records.
  • Perform data entry functions by hand-keying electronic information into various data systems.
  • Update spreadsheets and data systems with updated content to maintain accurate information.
  • Exemplify caring and compassionate customer service to create an excellent patient experience.

Requirements

  • High School Diploma or GED required.
  • Intermediate skill level in Microsoft Word, Excel, and Outlook.
  • Excellent written and verbal communication skills.
