About the position

The HOA Community Manager - Portfolio position at Planned Development Services involves overseeing a portfolio of 8-10 communities, ensuring high levels of satisfaction among board members and residents. The role requires proactive management of daily operations, vendor relationships, and financial oversight, all within a supportive and team-oriented environment that values work-life balance and professional growth.

Responsibilities

  • Oversee daily operations of assigned communities.
  • Conduct regular inspections of properties within the portfolio to ensure upkeep and identify any issues.
  • Employ and oversee contracts for services of security, maintenance, grounds keeping and other third-party vendors.
  • Direct accounting functions, approve invoices, and review monthly financials and collection reports.
  • Prepare monthly board packets and plan, schedule, and attend HOA meetings.
  • Prepare annual budgets and monitor financial performance.
  • Interact with homeowners, vendors, and board members via phone calls and email, addressing inquiries and concerns.
  • Provide education and support to board members to help them understand their roles and responsibilities.
  • Implement and monitor property budgets, manage expenses, and ensure efficient operations.

Requirements

  • Minimum 2 years experience as an HOA Community Manager is required
  • Strong leadership and team management skills
  • Ability to handle multiple tasks and prioritize effectively
  • Excellent customer service skills
  • Positive and professional attitude
  • Working knowledge of Word and Excel
  • Superior written and verbal communication skills
  • Master of conflict resolution
  • Reliable transportation

Nice-to-haves

  • Experience with TOPS and/or SmartWebs a plus
  • CMCA designation or higher is a plus
