About the position

The HOA Member Service Specialist at ICON Management is responsible for ensuring timely processing of deposits, collection of monthly dues, and managing communications with homeowners and community managers. This role emphasizes customer service, accuracy in billing, and collaboration with various departments to maintain financial records and support community operations.

Responsibilities

• Deliver and promote prompt, courteous, and friendly service to all residents, guests, and fellow employees.
• Accurately post payments in the billing system to appropriate client accounts upon receipt of payment.
• Research accounts and explain invoices to clients/customers effectively.
• Provide regular reports on the status of accounts receivable in arrears.
• Direct and coordinate collections activities, including sending late notices and making phone calls as per board-approved policies.
• Work with the treasurer to review small delinquent amounts and recommend appropriate write-offs.
• Investigate account questions regarding events, gift certificates, and distribution of charges into the accounting system.
• Verify and post transactions while maintaining historical records.
• Collaborate with other departments to ensure smooth operations.
• Demonstrate a strong commitment to performance accountability.

Requirements

• High School Diploma required; Associates Degree preferred.
• Advanced computer and Excel training.
• Experience in customer service and accounting software knowledge.
• Experience working with CINC software is a plus.
• Ability to communicate effectively and courteously in a fast-paced environment.
