About the position

The Program Administrator is responsible for the oversight of the Hospitalist Program operations staff, ensuring accountability for the assigned market program operations. This role is crucial in managing program budgets related to finance, staffing, quality performance, facility management, and physician relations. Reporting directly to the Vice President for Greater Texas Program Operations, the Program Administrator will lead the operational staff, which includes Navigators and Care Team Associates, to ensure the effective delivery of healthcare services. The administrator will be tasked with developing and implementing policies and procedures that enhance care quality and patient satisfaction results. In this position, the Program Administrator will promote the provision of cost-effective, high-quality healthcare services to patients. They will maximize staff performance and technical expertise through clearly defined objectives, training, skill development, and leadership. Collaboration with the Medical Director and Senior Leadership is essential for preparing and implementing budgets, as well as recommending funding based on a thorough understanding of policies, costs, and operating practices. The administrator will also represent the program at public and professional meetings and conferences, ensuring that the program's interests are well-represented. The role involves analyzing data and collaborating with colleagues and business partners to identify potential root causes of issues. The Program Administrator will work closely with internal stakeholders to identify and remove obstacles faced by providers or other teams. They will guide and oversee the competency of the program support staff, ensuring that all educational objectives are met. The position includes up to 15% local travel, and the administrator will perform all other related duties as assigned, contributing to a dynamic and challenging work environment that fosters professional growth and development.

Responsibilities

  • Manage operational staff including Navigators and Care Team Associates, ensuring effective market-based program operations.
  • Oversee all aspects of operational staff development including hiring, training, coaching, and development.
  • Promote cost-effective, high-quality healthcare services to patients.
  • Maximize staff performance through defined objectives, training, and leadership.
  • Collaborate with the Medical Director and Senior Leadership on budget preparation and implementation.
  • Represent the program at public and professional meetings and conferences.
  • Participate in the development and implementation of systems and processes supporting program operations.
  • Maintain effective cross-functional services with various departments and leadership.
  • Handle complex provider inquiries and facilitate resolution of provider issues.
  • Analyze data to identify potential root causes of issues and collaborate with colleagues to address them.
  • Guide and ensure competency of program support staff.
  • Assist in educating providers and program support staff, ensuring educational objectives are met.
  • Facilitate provider discussions and negotiate resolutions, escalating issues when necessary.
  • Work with leadership to eliminate duplication of efforts and improve provider relations.

Requirements

  • 3+ years of healthcare operations/program administration experience.
  • 1+ years of supervisory experience.
  • Solid working knowledge of Medicare Advantage quality operations.
  • Knowledge of state and federal laws relating to Medicare.
  • Ability and willingness to travel locally and non-locally as needed.
  • Exceptional analytical and data representation expertise.
  • Advanced Microsoft Office skills, particularly in Excel.
