About the position

The Hospitality Associate position is designed to provide consistent and high-quality food and beverage service to clients, ensuring the smooth delivery of conference and function services. This role involves setting up and breaking down conference rooms according to event orders while maintaining cleanliness standards for kitchens, equipment, and meeting rooms. The Hospitality Associate will assemble and arrange conference equipment in function and conference rooms based on event requirements and disassemble these setups at appropriate times. Additionally, the role includes office maintenance tasks such as trash removal, cleaning, and restocking kitchens and pantries. General clerical duties may also be part of the job, including reception tasks, copying, mail services, and shipping and receiving products and supplies. The Hospitality Associate is expected to ensure excellent and professional client service at all times, leading the coordination of meeting rooms and events. Training team members on responsibilities and tasks associated with the position is also a key aspect of this role. Responsibilities include setting up and breaking down conference rooms, undertaking general waiting and service duties for food and beverages, and following hygienic food and beverage handling procedures. The associate will manage the conference/hospitality calendar, greet clients and guests, and perform various cleaning and maintenance duties in the office or building locations as needed. This position reports directly to the Site Manager or Assistant Site Manager, depending on the site personnel configuration. The Hospitality Associate must be capable of working in a fast-paced environment, possess excellent customer service and organizational skills, and maintain a clean and safe work area while working as part of a team or independently.

Responsibilities

  • Ensure excellent and professional client service at all times
  • Lead in coordinating meeting rooms and events
  • Train team members on responsibilities and tasks associated with the position
  • Set up and break down conference rooms, including tables, chairs, and podiums
  • Undertake general waiting and service duties of food and beverages
  • Follow hygienic food and beverage handling procedures
  • Provide general assistance in cleaning kitchen and function areas as directed
  • Manage conference/hospitality calendar and greet clients and guests
  • Perform conference room sweeps, adjusting chairs and wiping down tables
  • Set up and assemble flip charts, whiteboards, and cork boards
  • Prepare food for client meetings, parties, and company events
  • Maintain kitchens and clean kitchen equipment
  • Load dishwasher with items used by client personnel
  • Order and keep track of inventory for supplies, food, and beverages
  • Perform occasional cleaning duties in the office or building locations
  • Distribute office supplies, packages, and mail as required
  • Perform other job duties as assigned

Requirements

  • Requires high school diploma or GED
  • 1-2 years of related hospitality and office experience is preferred
  • May require a valid driver's license and minimum levels of auto insurance coverage per Ricoh policy
  • Ability to communicate clearly both verbally and in writing
  • Capable of working in a fast-paced environment
  • Excellent customer service and organization skills
  • Basic computer and office equipment skills
  • Ability to meet/exceed customer expectations
