About the position

The Office Services and Hospitality Associate role involves providing operational support in a legal office environment, focusing on high-volume document handling, copying, scanning, and mail processing. The position requires attention to detail and the ability to manage sensitive documents while ensuring quality service delivery. The associate will also be responsible for maintaining office equipment and supplies, as well as providing customer support to various legal professionals.

Responsibilities

  • Run high volume copy machines and perform binding and finishing work.
  • Handle highly sensitive and confidential documents that may be time sensitive.
  • Provide quality work due to the sensitive nature of documents and projects required in a legal environment.
  • Operate high volume scanners and image handling software.
  • Ensure convenience copiers are working properly, checking for quality via daily inspections.
  • Maintain records for management reports and inventories of supplies needed.
  • Distribute office supplies, fax transmissions, and mail to company personnel and/or designated drop-off points.
  • Calculate charges for jobs performed and maintain billing logs.
  • Respond to and coordinate all service calls required by customers.
  • Deliver completed jobs to pre-determined customer locations within and outside of the site.
  • Maintain daily meter and service logs.
  • Answer customer questions regarding status or feasibility of job requests.
  • Ensure upkeep of convenience copier areas by keeping them neat and well stocked.
  • Perform duties related to the shipping and/or receiving of materials.
  • Use various office equipment such as shrink-wrap machines, paper cutters, and bindery equipment.
  • Perform filing duties, including purging and archiving old documents.
  • Assist with coordinating projects that will be completed off site.
  • Interact and provide professional level support to users at various levels, including legal secretaries and project managers.

Requirements

  • High school diploma, GED, or equivalent work experience.
  • Complete Ricoh Legal training within 90 days of hire and maintain any new training requirements.
  • Minimum of 1 year of experience in the Legal Industry is strongly desired.
  • Demonstrated competency in basic computer skills including proficiency in MS Office Suite.
  • Ability to provide excellent customer experience utilizing strong customer service and communication skills.

Nice-to-haves

  • Some related copy job experience is preferred.
  • Basic electronics knowledge is preferred.
