About the position

The Hospitality Event Operations Manager at LaBelle Winery is responsible for executing events while ensuring all logistics are carried out according to event plans. This role involves managing the event department across two locations and collaborating with various departments to fulfill operational requirements. The ultimate goal is to execute perfect events that exceed guest expectations, embodying the principle of 'extreme hospitality'. The position requires a detail-oriented, resourceful individual with excellent problem-solving skills, capable of reacting quickly to challenges and deviations in event plans.

Responsibilities

  • Manage execution of event logistics to support the sales department after the planning stage.
  • Serve as the primary on-site contact for clients during events, demonstrating exceptional interpersonal skills.
  • Anticipate client needs and address concerns proactively.
  • Navigate high-emotion situations with grace and professionalism.
  • Communicate timeline changes or adjustments tactfully.
  • Build rapport quickly with clients and their guests.
  • Handle last-minute requests diplomatically while balancing operational constraints.
  • Attend weekly Banquet Event Order meetings to collaborate with Sales Managers on event logistics.
  • Develop final accommodation plans for guests via scheduling and coordinating ordering with the purchasing department.
  • Monitor department SOPs and policies for optimal efficiency.
  • Manage all Front of House Toast needs for billing edits and revenue allocation accuracy.
  • Ensure events follow local security, Workplace Safety and Health regulations, and state liquor laws.
  • Manage escalated on-site issues with clients, guests, and/or staff.
  • Resolve escalated client inquiries regarding events through staff investigations and reports to HR.
  • Maintain small wear and furniture inventory for both locations.
  • Work with Event Ops Admin to ensure efficient use of bar inventory and staff each week.
  • Report any employee conflict or issues to Human Resources.
  • Participate in/execute any necessary disciplinary documentation.
  • Execute schedule writing for Manager on Duty's in a timely manner.
  • Manage on Duty Paid Time Off Requests and anticipate conflicts against the event calendar.
  • Support additional building departments when able, including Bistro, Culinary, Tasting/Retail, & Facilities.
  • Ensure all event staff maintain LaBelle's professional image by monitoring uniform compliance.
  • Conduct mandatory training of basic bartending skills.

Requirements

  • Bachelor's Degree; Hospitality Management preferred
  • 5+ years of event management experience
  • Strong emotional intelligence and ability to remain calm under pressure
  • Professional and polished communication style
  • Experience managing client relationships in high-touch hospitality environments
  • Attention to detail and organization
  • Ability to work a flexible schedule
