About the position

The Hospitality Manager at Octagon, Inc. is responsible for planning and executing event and experiential marketing programs, ensuring a seamless and high-touch hospitality experience for brand clients and their guests. This role involves project management of multiple hospitality programs, development of strategic recommendations, and onsite implementation of events, all while collaborating with a diverse team and managing client relationships.

Responsibilities

  • Project manage multiple hospitality programs simultaneously, ensuring attention to detail and effective client management.
  • Design, develop, and present strategic program recommendations and execution guides.
  • Research and implement tactical plans, managing client and vendor relationships.
  • Develop guidelines, presentations, and best practices documents for internal and client distribution.
  • Manage financial records including budget creation, client invoicing, and expense reconciliation.
  • Provide exemplary service onsite for clients and guests during events.
  • Serve as onsite host during program implementation.
  • Provide internal and client updates as needed.
  • May supervise staff and/or interns during program execution.
  • Lead all aspects of online guest registration systems and databases.
  • Create personalized itineraries for various events.
  • Lead weekly status calls and key meetings with internal and external stakeholders.
  • Handle logistics including gifting, decor, lodging, transportation, food and beverage, and celebrity appearances.
  • Compile event results reporting and develop wrap-up reports.
  • Assist with general account management and client requests.
  • Work weekends and holidays as needed.

Requirements

  • 5 years of experience in the events field, with a preference for past hospitality experience.
  • Strong organizational and efficiency skills.
  • Ability to work collaboratively in a team environment.
  • Self-starter with the ability to prioritize multiple projects.
  • Excellent interpersonal skills, both written and oral.
  • Ability to thrive under pressure and solve problems creatively.
  • Proficient in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
  • Experience handling budgets and financial records.

Nice-to-haves

  • Knowledge of a second language is a plus.
  • Experience in sports, entertainment, gaming, music, or celebrity culture.
