The Hotel Sales Coordinator at Holiday Inn NRG/Med Center in Houston is a vital role that supports the Director of Sales and Marketing by providing comprehensive administrative assistance. This position is essential for ensuring that the sales team can focus on revenue-generating activities while the coordinator manages various operational tasks. The ideal candidate will be bilingual, fluent in both English and Spanish, to effectively communicate with a diverse clientele and handle inquiries from both customers and the brand's call center. In this role, the Sales Coordinator will be responsible for making reservations, handling billing inquiries, and processing customer leads for the sales managers. They will prepare group resumes and Banquet Event Orders (BEOs), ensuring that all necessary information is accurately documented and communicated. The coordinator will greet visitors, answer phone calls, and manage incoming lead information, which includes handling reservation requests and researching group billing inquiries. Additionally, the Sales Coordinator will maintain communication with group customers regarding their room block status, which involves entering rooming lists, monitoring pick-up status, and providing alerts for cutoff dates. They will assist managers with responses to Requests for Proposals (RFPs), proposals, contracts, and meeting arrangements as needed. The role also includes uploading and maintaining group files within the sales system for all group bookings at the property level, ensuring that all account and booking files are complete and accurate. The coordinator will perform general office functions and other duties as assigned by management, contributing to the overall efficiency of the sales team.

Responsibilities

  • Assist managers with RFP responses, proposals, contracts, and meeting arrangements.
  • Upload and maintain group files within the sales system for all group bookings.
  • Maintain account and booking files, ensuring all information is included.
  • Coordinate general office functions and perform other duties as assigned.

Requirements

  • Fluency in English and Spanish.
  • Previous hotel experience, preferably with IHG.
  • Technical sales experience is a plus.
  • Ability to prioritize and schedule workload to meet deadlines.
  • Strong communication and interpersonal skills.
