About the position

The Assistant Controller at Costa Mesa Marriott plays a crucial role in directing the financial activities of the hotel, ensuring the safeguarding of assets, and preparing financial reports in compliance with accounting principles and company standards. This position involves a variety of responsibilities related to financial accuracy, vendor management, and compliance with purchasing procedures, contributing to the overall financial health of the hotel.

Responsibilities

  • Sort and verify accuracy of Night Audit work, including reconciliation of banquet check extensions and coding of banquets at cost.
  • Record department administration phone calls and inform Controller of any potential concerns.
  • Post city ledger payments in property management system and reconcile all city ledger accounts.
  • Perform follow-up billing and credit collection documentation, informing Controller of any potential uncollectible accounts.
  • Reconcile credit card back-up to General Cashier Summary and inform Controller of any discrepancies.
  • Bill out credit cards and maintain accurate logs for all credit cards.
  • Set up new accounts in accordance with established credit policy and assist in reconciling open account status items.
  • Input General Cashier Summary and maintain binder.
  • File and distribute credit card cancellations, bulletins, and credit warnings.
  • Process and follow-up on all returned checks accepted as cash payment.
  • Record General Ledger and City Ledger reconciliations.
  • Verify that purchasing procedures are followed, ensuring accuracy in purchase orders and invoices.
  • Maintain an accurate Purchase Order Log and route invoices for approval.
  • Process all approved invoices for payment, ensuring accuracy and timely returns.
  • Handle vendor inquiries and reconcile vendor statements.
  • Maintain organized files for open invoices, paid invoices, and voided checks.
  • Interface checks and submit a log of all manual checks to the Controller.
  • Comply with attendance rules and be available to work regularly.
  • Perform any other job-related duties as assigned.

Requirements

  • Bachelor's Degree in Accounting preferred.
  • Accounting and Hotel experience preferred.
  • Strong organizational skills with attention to detail.
  • Ability to compile facts and figures.
  • Ability to operate personal computer and calculator.
  • Effective verbal and written communication skills.
  • Ability to adapt communication style to suit different audiences.

Nice-to-haves

  • Experience in hotel accounting systems.
  • Familiarity with financial reporting standards.
