About the position

The Hourly Employee Pool in the Human Resource Department at Santa Barbara City College is seeking a temporary hourly employee to perform a variety of diversified clerical duties. This role is essential in supporting the department or program, particularly during high peak times when there is a significant volume of work. The position is classified as a substitute role and is limited to no more than 19.5 hours per week. The employee will be responsible for answering phones, filing, scanning documents, and greeting visitors, directing them to the appropriate human resources technician as needed. The Office aide will provide clerical support that requires a basic understanding of office practices. The duties include data entry, filing, duplicating materials, and processing various documents. The employee will also be responsible for creating letters, lists, memoranda, forms, and announcements, as well as composing routine correspondence and proofreading completed assignments. Additionally, the role involves serving as a receptionist, answering telephone calls, taking and relaying messages, and referring visitors and callers to other programs or services as appropriate. The position requires the establishment and maintenance of filing systems, ensuring the accuracy and completeness of documents, and entering data into an assigned computer system. The employee will also generate computerized reports and documents as requested and communicate with students, personnel, and outside agencies to exchange information and resolve issues. Operating various office equipment, scheduling appointments, and managing office calendars are also part of the responsibilities. The work environment is primarily office-based, with constant interruptions expected due to the nature of the role.

Responsibilities

  • Perform a variety of diversified clerical duties in support of an assigned office including data entry, filing and duplicating materials.
  • Receive, greet and direct visitors; respond to inquiries and provide a variety of general information to personnel, students and the public concerning program or function services.
  • Create letters, lists, memoranda, forms, announcements, labels, handouts, notices; compose routine correspondence; proofread completed word processing assignments.
  • Serve as receptionist, answering telephone calls and directing calls to appropriate personnel as required; take and relay messages as appropriate.
  • Establish and maintain filing systems; review and verify accuracy and completeness of various documents.
  • Enter data into an assigned computer system; maintain automated records; generate computerized reports and documents as requested; review input and output data for accuracy.
  • Communicate with students, personnel and outside agencies to exchange information and resolve issues or concerns.
  • Operate a variety of office equipment including a copier, fax machine, computer and assigned software.
  • Schedule and arrange appointments, meetings and other events as directed; maintain office or function calendars and schedules as required.
  • Receive, sort and distribute mail as required.

Requirements

  • Graduation from high school and one year of general clerical experience.
  • Ability to read, write and speak English and a designated second language may be required.

Nice-to-haves

  • Experience with Microsoft Office Suite and other assigned software programs.
  • Knowledge of modern office practices, procedures, and equipment.
