About the position

The Housing Operations Coordinator at Greystar Real Estate Partners LLC plays a crucial role in the management of housing operations and assignments functions within the residential communities at Cleveland State University (CSU). Reporting directly to the Director for Housing Operations, this position is responsible for ensuring that the department's day-to-day operations run smoothly and efficiently. The coordinator will assist in addressing inquiries and concerns from students, families, and community members regarding housing policies, assignments, access control, and general assistance. This role is vital in enhancing the overall student experience in the residential communities, contributing to their health, well-being, and success. In addition to overseeing daily operations, the Housing Operations Coordinator will collaborate with various university offices to coordinate residential community openings and closings, manage summer housing assignments, and assist with room changes and cancellations. The coordinator will also be involved in managing departmental access control processes, preparing resident key and welcome packets, and ensuring that Room Condition Reports (RCRs) are completed throughout the year. The position requires generating administrative reports, evaluating assessment data, and conducting housing research as needed. Furthermore, the coordinator will support departmental marketing efforts and participate in university recruitment activities. The role also includes staff supervision, where the coordinator will recruit, train, and supervise student Office Assistants and Desk Assistants. They will provide guidance to professional live-in Community Directors and promote staff recognition and professional development initiatives. The Housing Operations Coordinator will advise students and families, providing resource referrals to support student success and well-being. They will be expected to be visible and accessible during university events and assist in leading task forces and executing departmental projects. Overall, this position is integral to fostering a supportive and efficient housing environment for CSU students.

Responsibilities

  • Assist the Director for Housing Operations with the oversight of the department's day-to-day operations.
  • Ensure efficient systems are in place to meet professional standards for timely responses to inquiries from students and families.
  • Oversee the coordination of university-wide residential community openings and closings.
  • Manage departmental access control processes including key and key code management.
  • Assist with all major operations projects, including returning student housing selection and mid-year housing assignments.
  • Manage summer housing assignments, room changes, cancellations, and transitions.
  • Generate administrative reports and conduct housing research as needed.
  • Oversee the Mail Distribution Operations for the residential communities.
  • Recruit, train, and supervise student Office Assistants and Desk Assistants.
  • Advise students and family members in decision-making and provide resource referrals.

Requirements

  • A bachelor's degree in business management, communications, or other relevant field.
  • Experience in a residence life and/or property management setting.
  • Experience using a housing or property management system.
  • Demonstrated experience developing, mentoring, and motivating a diverse professional staff team.
  • Detail-oriented and self-motivated with the ability to work independently and collaboratively.
  • Sensitive, diplomatic, and articulate written and verbal communication skills.
  • Ability to implement problem-solving strategies to manage residential challenges.
  • Knowledge of equity and inclusion issues and laws impacting higher education.

Nice-to-haves

  • Ability to navigate THD (The Housing Director), PeopleSoft, Access Control systems or their equivalents.
