About the position

The Housing Operations Coordinator at Northeastern University plays a crucial role in supporting the housing services on the Oakland campus. This position involves managing room selection and assignment processes, assisting with summer resident and conference housing, and providing administrative support related to student housing and billing. The coordinator is responsible for ensuring excellent customer service and effective communication with students and staff, while also collaborating with various departments to facilitate housing operations.

Responsibilities

  • Support cancellations including email and phone communications, deposit refunds, transfers and forfeits, and charging cancellation fees.
  • Assist the Assistant Director of Housing Services with the Residency Waiver and Cancellation Petition processes.
  • Handle all customer service related to cancellations and billing, including phone calls, emails, Teams/Zoom, and in-person inquiries.
  • Collaborate with Residential Life staff to receive final damage billing reports and assess charges.
  • Support room assignments and room changes during peak periods as needed.
  • Coordinate and monitor Housing office activities, including distribution, tracking, and maintenance of keys.
  • Assist with start of term audits semesterly and process no-show cancellations and fees.
  • Monitor daily student eligibility for university housing and collaborate with Residential Life staff to determine room occupancy when eligibility changes.
  • Process appropriate housing refunds or assess housing charges based on eligibility changes.
  • Work closely with the Director of Housing and Residential Life, Residential Life Assistant Director, and Area Coordinators on customer service related to room assignments and other operations.
  • Manage shared Housing and Residential Life inboxes with a high volume of emails daily.

Requirements

  • Bachelor's degree or equivalent experience.
  • 1 to 3 years of experience, preferably in a college/university environment or collaborative team environment.
  • Sound judgment and analytical skills.
  • Attention to detail with a high degree of accuracy.
  • Ability to work in a fast-paced environment.
