About the position

The Senior Specialist in HR Administration at York Life Insurance Company plays a crucial role in supporting the HR Department's strategy and administration team. This position is responsible for coordinating departmental events, managing administrative tasks, and enhancing internal communications, all aimed at fostering a positive HR environment. The role is pivotal in ensuring the smooth operation of HR functions, contributing to the company's goal of attracting and retaining top talent.

Responsibilities

  • Coordinate departmental meetings and events, including planning and scheduling logistics.
  • Manage the HR Department calendar and ensure high-quality execution of meeting/event logistics.
  • Prepare and manage presentation materials for HR town halls and department-wide events.
  • Coordinate HR department leadership meetings, including agenda and materials preparation.
  • Develop and administer surveys for department events and communicate results to leadership.
  • Maintain the HR Communications Outlook Calendar with all HR meetings and events.
  • Provide administrative support, including managing the department's P-Card and expense reporting.
  • Update administration procedures and maintain the HR department organizational chart.
  • Ensure optimal functionality of office common areas and manage supplies inventory.
  • Coordinate ordering and delivery of gifts for HR events and promotions.
  • Support HR Senior Leadership Team members as needed.
  • Maintain department distribution lists and floor plans for employee seating arrangements.
  • Handle other administrative duties and projects as assigned.

Requirements

  • Bachelor's degree preferred.
  • Strong organizational skills and attention to detail.
  • Proactive and resourceful with the ability to take initiative.
  • Strong oral and written communication skills.
  • Advanced skills in Microsoft Office, including PowerPoint, Word, Excel, Teams, and OneDrive.
