About the position

We are seeking a dedicated and detail-oriented Administrative Assistant to support our team in a dynamic office environment. This part-time role is essential in managing front desk operations, providing exceptional customer service, and ensuring the smooth flow of daily administrative tasks, thereby enhancing the overall experience for both staff and clients.

Responsibilities

  • Greet visitors and manage front desk operations, ensuring a welcoming atmosphere.
  • Answer phone calls with professionalism, utilizing effective phone etiquette to assist clients and direct inquiries appropriately.
  • Maintain organized filing systems for documents, ensuring easy access to information when needed.
  • Provide administrative support including scheduling appointments, managing calendars, and coordinating meetings.
  • Assist with customer service inquiries, addressing concerns promptly and efficiently.
  • Utilize office equipment and phone systems to facilitate communication and task completion.
  • Collaborate with team members to ensure all administrative tasks are completed accurately and on time.
  • Perform additional clerical duties as assigned by management.

Requirements

  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent time management skills to prioritize workload effectively.
  • Experience in front desk operations or as a dental receptionist is a plus.
  • Proficient in using phone systems and office equipment.
  • Previous experience as a personal assistant or in a customer service role is highly desirable.
  • Attention to detail in maintaining accurate records and files.
  • Strong communication skills, both verbal and written, to interact effectively with clients and colleagues.
