About the position

The HR Administrative Specialist plays a crucial role in the HR department by entering transactions within the Workday HCM system and generating necessary departmental reports. This position requires close collaboration with both the HR and Operations teams to track and report on various HR and Operations metrics, including absenteeism, turnover, and employee referrals. The specialist is responsible for ensuring that all data entered into the system is accurate, complete, and compliant with company guidelines as well as federal, state, and local regulations. In this role, the HR Administrative Specialist will act as the primary point of contact for employees, corporate HRIS, and plant leaders regarding any questions related to Workday data, transactions, and system functionalities. The specialist will also be tasked with researching and resolving discrepancies in data input, ensuring that any issues are escalated to the appropriate personnel when necessary. Additionally, the specialist will gather, track, and compile data for required HR or Operations metrics reporting, distributing this information to relevant personnel in a timely manner. The position also involves overseeing the Trumpia messaging system for the location and managing the unemployment process by researching and submitting necessary documents to ensure complete data entry in the applicable systems. Training for supervisors and managers on the functionality of the Workday HCM system will also be part of the responsibilities. The specialist will validate I-9 documentation for new hires and ensure compliance with WOTC requirements. Furthermore, the role includes identifying opportunities for process improvement to enhance efficiency and promoting safety initiatives within the workplace. This is an individual contributor role that requires a strong set of competencies, including functional and technical skills, problem-solving abilities, and interpersonal savvy. The HR Administrative Specialist will be expected to follow all safety policies and programs, ensuring a safe working environment for themselves and others.

Responsibilities

  • Enter data and transactions in Workday system accurately and completely.
  • Act as point of contact for employees and leaders regarding Workday data and transactions.
  • Research and resolve data input discrepancies or missing data.
  • Gather, track, and compile data for HR or Operations metrics reporting.
  • Oversee Trumpia messaging system for the location.
  • Manage the unemployment process and ensure complete data entry.
  • Provide training for supervisors and managers on Workday HCM system.
  • Validate I-9 documentation for new hires and recertify as needed.
  • Complete WOTC sec. 2 for all new hires.
  • Identify and communicate opportunities for process improvement.
  • Promote safety initiatives and maintain a zero accident culture.
  • Perform additional relevant duties as assigned.

Requirements

  • High School diploma or equivalent; Associate's degree in a relevant field preferred.
  • Minimum three (3) years' experience within a human resources environment; experience with HCM systems such as Workday highly preferred.
  • Strong computer skills with the ability to work with Microsoft applications (Word, Excel, Outlook, etc.).
  • Ability to effectively communicate in English, both verbal and written; ability to communicate in multiple languages preferred.
  • Strong attention to detail and organizational skills with the ability to prioritize tasks.
  • Ability to work effectively with others, demonstrating tact and discretion.
  • Self-starter with strong initiative and sense of urgency, able to work in a fast-paced environment.
