About the position

The HR Administrative Specialist plays a crucial role in managing and maintaining the integrity of employee data within the Workday Human Capital Management (HCM) system. This position is responsible for entering various transactions related to employee status, such as job changes, promotions, demotions, and transfers, ensuring that all data is accurate, complete, and compliant with company guidelines as well as federal, state, and local regulations. The specialist will also generate and provide departmental reports as needed, contributing to the overall efficiency of the HR and Operations teams. In addition to data entry, the HR Administrative Specialist serves as a point of contact for employees and plant leaders regarding Workday-related inquiries. This includes addressing questions about data transactions and resolving discrepancies in data input. The role requires a proactive approach to gather, track, and compile data for HR and Operations metrics reporting, such as headcount, absenteeism, turnover, and employee referrals, ensuring timely distribution to relevant personnel. The specialist will oversee the messaging system for the location and manage the unemployment process by researching and submitting necessary documentation. Training supervisors and managers on the functionality of the Workday HCM system is also a key responsibility. The role involves validating I-9 documentation for new hires and ensuring compliance with the Work Opportunity Tax Credit (WOTC) requirements. The HR Administrative Specialist is expected to identify opportunities for process improvements to enhance efficiency and promote safety initiatives within the workplace, contributing to a culture of zero accidents. This position does not have supervisory responsibilities and requires competencies such as functional and technical skills, problem-solving abilities, and interpersonal savvy. The HR Administrative Specialist must be detail-oriented, organized, and capable of working effectively in a fast-paced environment while maintaining confidentiality in all matters.

Responsibilities

  • Enter data and transactions in the Workday system accurately and completely.
  • Act as point of contact for employees and plant leaders regarding Workday data and transactions.
  • Research and resolve data input discrepancies or missing data as needed.
  • Gather, track, and compile data for HR and Operations metrics reporting.
  • Oversee the messaging system for the location.
  • Manage the unemployment process and ensure complete data entry in applicable systems.
  • Provide training for supervisors and managers on the Workday HCM system.
  • Validate I-9 documentation for new hires and recertify as needed.
  • Complete WOTC section 2 for all new hires.
  • Identify and communicate opportunities for process improvement.
  • Promote safety initiatives and maintain a zero accident culture.
  • Perform additional relevant duties as assigned.

Requirements

  • High School diploma or equivalent; Associate's degree in a relevant field preferred.
  • Minimum three years' experience in a human resources environment; experience with HCM systems such as Workday preferred.
  • Strong computer skills with proficiency in Microsoft applications (Word, Excel, Outlook).
  • Ability to communicate effectively in English, both verbally and in writing; knowledge of multiple languages preferred.
  • Strong attention to detail and organizational skills with the ability to prioritize tasks.
  • Ability to work effectively with others while maintaining confidentiality.
  • Self-starter with strong initiative and ability to work in a fast-paced environment.

Nice-to-haves

  • Experience with other HRIS systems besides Workday.
  • Ability to communicate in multiple languages.
