About the position

The HR and Benefits Representative at ProMedica is responsible for the daily administration of all benefit plans offered by the organization. This role involves maintaining employee health benefit elections and assisting employees with inquiries regarding benefit eligibility and coverage. The representative serves as an expert resource within the HR department, providing guidance to employees on human resources policies and benefits. Participation in the annual open enrollment process and orientation programs on benefits is also a key responsibility. The representative will interact with employees, retirees, providers, and payroll to ensure that all employee benefit transactions are processed in accordance with established company policies and procedures, as well as state and federal laws. This position requires well-developed customer service skills, as the representative will regularly engage with employees and leadership, as well as respective HR Centers of Excellence (COEs).

Responsibilities

  • Demonstrates comprehensive knowledge of ProMedica's employee benefit offerings, including eligibility requirements, coverage design, employee contributions, and enrollment processes.
  • Manage benefit administration processes, entering information into the benefits enrollment system to meet critical deadlines for payroll and benefits enrollment.
  • Counsel employees on benefits, respond to customer inquiries regarding benefits, and independently resolve problems whenever feasible.
  • Provide HR customer service to employees and managers of all levels, successfully resolving a high percentage of inquiries that come to HR.
  • Recommend new approaches and enhancements to policies and procedures to improve departmental efficiency and services.
  • Work with or refer employees to others for appropriate issue resolution, such as benefits questions, leaves of absence, and payroll.
  • Maximize the use of Human Resource software and systems for information retrieval and sharing.
  • Establish collaborative relationships with business unit leadership and all HR employees to achieve organizational goals and objectives.
  • Interpret policies and plan documents to ensure appropriate handling of situations and adherence to policy.
  • Review and verify incoming and outgoing documentation for completeness, accuracy, and compliance, maintaining comprehensive files.
  • Maintain established departmental policies, procedures, objectives, quality assurance programs, and safety standards.
  • Participate in or coordinate projects and analytical tasks as assigned.
  • Attend meetings and in-services as required.

Requirements

  • Bachelor's degree or equivalent work experience (equivalent experience equating to 4 years documented experience in a large organization that offers a comprehensive benefit program).
  • Proficiency with MS Office applications.
  • Ability to address a high volume of phone calls and emails in a timely manner.
  • Demonstrated principles of customer service, even in difficult situations.
  • Respect, value, and actively support the contributions and diversity of all team members.

Nice-to-haves

  • Previous experience in the area of human resources/benefits specialty.
