About the position

An established Boston non-profit is looking to hire a Coordinator of HR & Operations. This position is a critical role at the organization to ensure that the Operations and Human Resources functions are operating efficiently and effectively. The Coordinator will support the administrative, operational, and logistical execution of the day-to-day operations of the organization and its departments. This includes ensuring that all office administrative and support functions are maintained and optimized, as well as overseeing technology and network activities across all departments. The role also involves coordinating accounts payable and check signing processes for all accounts, consultants, and staff, and maintaining careful documentation of vendor information and contracts. In addition to operational responsibilities, the Coordinator will implement the recruitment and onboarding process, which includes preparing job descriptions, advertising, recruiting (with an emphasis on online/social media recruiting), coordinating interviews, conducting background checks, preparing offer letters, and coordinating benefit enrollment. The Coordinator will track the status of candidates in the HRIS and respond with follow-up letters at the end of the recruiting process. They will also oversee the completion of I-9 Forms and maintain accurate employee records for all staff, including compensation, benefits, reviews, and other employment-related communications. The role requires strong organizational skills to manage multiple tasks effectively, support program and development events, and ensure compliance with employment laws. The Coordinator will also assist in the administration and documentation of performance reviews and be responsible for data entry, management, and audit for sensitive employee information. This position is essential for maintaining the overall efficiency of the HR and Operations functions within the organization.

Responsibilities

  • Supports administrative, operational and logistical execution of the day-to-day operations of the organization and its departments.
  • Ensures that all office administrative & support functions are maintained and optimized.
  • Ensures that all technology and network activities and functions are maintained and optimized across all departments.
  • Coordinates the accounts payable and check signing processes for all accounts, consultants and staff.
  • Responsible for record keeping, and careful documentation of vendor information and contracts.
  • Leads information technology planning and implementation activities.
  • Maintains and communicates company's upcoming events & activities.
  • Manages the tracking and distribution of company apparel, equipment and supplies.
  • Supports program and development events.
  • Supports office maintenance requests and manages supplies.
  • Manages and maintains all company and employee documentation.
  • Implements the recruitment and onboarding process, including preparing job descriptions, advertising, recruiting, coordinating interviews, conducting background checks, preparing offer letters, and coordinating benefit enrollment.
  • Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
  • Supports implementation, management and training HRIS system.
  • Oversees and manages the completion of I-9 Forms, I-9 documentation and I-9 files maintenance.
  • Optimizes and maintains accurate employee records for all staff, including compensation, benefits, reviews, and all other communications and matters related to staffs' employment by the organization.
  • Manages the benefits administration function, including; enrollment, staff communications, liaison to insurance vendors, and benefit tracking.
  • Assists in the administration and documentation of performance reviews, assisting supervisors with the timely and effective completion of staff evaluations.
  • Responsible for data entry, management, and audit for sensitive information related to employees.
  • Responsible for working with new hires in the pre-boarding and onboarding process to make sure all information is accurate and company is compliant with employment laws.
  • Supports the director in relaying payroll information.

Requirements

  • Bachelor's degree in Human Resources or related field
  • 2+ years of experience in HR operations or coordination
  • Strong knowledge of HRIS systems and benefits administration
  • Familiarity with employment laws and regulations
  • Excellent communication and interpersonal skills
  • Ability to handle multiple tasks and prioritize effectively
  • Experience in performance management and employee relations
  • Certification in HR management or related field is a plus
