About the position

Shared Medical Services is seeking a dedicated HR Assistant specializing in Credentials and Onboarding to join our Human Resources team in Cottage Grove, WI. This full-time position is crucial for maintaining the integrity of our employee credentialing process, which is essential for our operations in the mobile imaging solutions industry. The HR Assistant will be responsible for creating and maintaining employee credential files, ensuring that all team members meet the necessary job-specific licenses and certifications, and that they comply with medical and training requirements. This role will also involve assisting the Talent Acquisition team with new hire onboarding and orientation, processing credential requests from customers and field managers, and reviewing and tracking payment of invoices related to credentials. The HR Assistant will work closely with the HR team and the Safety department on various projects and tasks as needed. The position is based in our Cottage Grove corporate headquarters, with an anticipated schedule of Monday to Friday from 8 am to 5 pm. After becoming fully trained, there is potential for a hybrid work arrangement, allowing for 1-2 days of remote work per week. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to communicate effectively with individuals at all levels of the organization. This role is vital in supporting our commitment to delivering unmatched customer service and maintaining the high standards of our employee team.

Responsibilities

  • Create and maintain employee credential files
  • Assist Talent Acquisition team with new hire onboarding and orientation
  • Process credential requests from customers and field managers
  • Review and track payment of invoices related to credentials
  • Assist HR team, as well as Safety department, with additional projects and tasks as needed

Requirements

  • Two years of experience in a highly detailed administrative role, preferably in healthcare credentialing, safety/compliance, contract compliance or legal department
  • Knowledge of office procedures, methods and equipment including computers and applicable software applications, including databases; proficient with Microsoft Word, Excel, PowerPoint and Outlook
  • Assertive yet friendly/professional/collaborative verbal and written communication skills with individuals at all levels
  • Excellent and professional customer service skills
  • Excellent organization skills and attention to detail
  • Ability to multi-task and prioritize
  • Ability to work with multiple team members and communicate professionally and effectively
  • Ability to maintain confidentiality
