The HR Assistant - Credentials and Onboarding position at Shared Medical Services is a full-time role based in Cottage Grove, WI. This position is integral to the Human Resources team, focusing on the management of employee credentials and the onboarding process for new hires. In this role, the HR Assistant will be responsible for creating and maintaining employee credential files, which are essential for ensuring that all team members meet the necessary job-specific licenses and certifications. The position involves assisting the Talent Acquisition team with new hire onboarding and orientation, ensuring that all required documentation and training are completed. Additionally, the HR Assistant will process credential requests from customers and field managers, review and track payment of invoices related to credentials, and support the HR team and Safety department with various projects and tasks as needed. The ideal candidate will thrive in a detailed administrative role, preferably with experience in healthcare credentialing or compliance. This position requires a strong understanding of office procedures and the ability to communicate effectively with individuals at all levels of the organization. The HR Assistant will play a crucial role in maintaining the integrity of the onboarding process and ensuring that all team members are compliant with Shared Medical Services' policies and procedures.

Responsibilities

  • Create and maintain employee credential files
  • Assist Talent Acquisition team with new hire onboarding and orientation

Requirements

  • Two years of experience in a highly detailed administrative role, preferably in healthcare credentialing, safety/compliance, contract compliance or legal department
  • Knowledge of office procedures, methods and equipment including computers and applicable software applications, including databases; proficient with Microsoft Word, Excel, PowerPoint and Outlook
  • Assertive yet friendly/professional/collaborative verbal and written communication skills with individuals at all levels
  • Excellent and professional customer service skills
  • Excellent organization skills and attention to detail
  • Ability to multi-task and prioritize
  • Ability to work with multiple team members and communicate professionally and effectively
  • Ability to maintain confidentiality
