About the position

The HR Assistant at Sabert plays a crucial role in supporting the Human Resources department by managing various administrative tasks and facilitating communication between job candidates and HR personnel. This position is essential for maintaining efficient office operations and ensuring a smooth onboarding process for new hires.

Responsibilities

  • Answer telephone and transfer calls to appropriate person/department.
  • Greet all visitors, contractors, and job applicants, and direct them to the appropriate employee or department.
  • Maintain visitors log and ensure compliance with plant visitation policies.
  • Ensure that office supplies are in stock and handle the ordering process as needed.
  • Sort and distribute mail accordingly.
  • Process package shipment requests.
  • Book conference rooms through Outlook as needed.
  • Handle all luncheon and meeting requests for executives.
  • Maintain accurate electronic personnel files for both active and terminated employees.
  • Handle hotel accommodations or travel needs for employees or guests as needed.
  • Create Purchase Requisitions and Purchase Orders using SAP.
  • Assist with various projects as needed.
  • Process background checks for job applicants and prospective new hires.
  • Create interview schedules for job candidates and act as a liaison between candidates and the HR recruiter.
  • Schedule interviews via Outlook calendar.
  • Facilitate the new hire process by creating new hire packets and scheduling orientation meetings.
  • Post hourly job descriptions within the company Applicant Tracking System.
  • Aid in the sourcing process for the Recruiter.
  • Contact employment agencies and colleges/universities to discuss employment opportunities.
  • Review and revise documents as needed.
  • Handle sensitive and confidential information with professionalism and discretion.

Requirements

  • 2 years prior experience in a similar role.
  • Strong working knowledge of Microsoft Office, including Excel, PowerPoint, and Outlook.
  • Computer literacy and knowledge of SAP is a plus.
  • Excellent communication skills, both written and verbal.
  • Bilingual in Spanish is required.
  • Ability to multitask and prioritize effectively.
  • Organized and detail-oriented.
  • Ability to handle confidential material properly and with professionalism.
