About the position

Meneses Law is seeking a Human Resources Assistant to support the HR Department with various administrative tasks. The role involves clerical duties such as organizing files, maintaining employee documents, and assisting in the recruitment process. The ideal candidate should be detail-oriented, organized, and possess strong communication skills, with a commitment to confidentiality and professionalism.

Responsibilities

  • Assist with day-to-day functions of HR's clerical work and administrative business.
  • Organize and maintain employee documents on physical and e-file systems.
  • Maintain and update information for personnel and subject matter files, ensuring confidentiality.
  • Schedule appointments and arrange meetings, confirming requirements, dates, and times.
  • Maintain correspondence with candidates during the recruiting phase.
  • Follow firm guidelines, policies, and procedures while maintaining client confidentiality.
  • Familiarity with common office processes, including filing, scanning, and handling mail.
  • Organize and multitask for filing and completing several clerical and administrative tasks at once.
  • Enter data and proper information into company software.
  • Address employee queries in a timely manner.
  • Track, monitor, and reconcile data in computer database systems according to established policies.
  • Process and distribute departmental mail.
  • Perform any other tasks necessary for the daily operations of the HR department.

Requirements

  • Bachelor's degree required.
  • 1 year of office experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite and MacOS systems.
  • Ability to handle multiple matters simultaneously.
  • Strong analytical and problem-solving skills.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Self-motivated with excellent interpersonal skills.
  • Fluent in English and Spanish.

Nice-to-haves

  • Experience in human resources is preferred.
