About the position

The HR Assistant plays a crucial role in supporting the HR department's operations at the University of Northwestern St. Paul. This position involves performing various administrative and office support duties, managing student employment processes, and providing excellent customer service to visitors and employees. The HR Assistant is expected to maintain a welcoming environment and assist with various HR-related tasks, contributing to the overall efficiency of the department.

Responsibilities

  • Answer and appropriately direct calls coming into the University's main switchboard.
  • Provide welcoming, warm, and professional service to all visitors, applicants, and employees requesting assistance in the HR office.
  • Create new employee ID numbers as needed and requested.
  • Collect new employee paperwork and notify HR Benefits as appropriate.
  • Process employee and volunteer background checks and update related documentation.
  • Assist with departmental electronic communication including notifications and newsletters.
  • Process, respond to, or redistribute incoming HR-related mail as appropriate.
  • Maintain employment board postings throughout the organization.
  • Maintain and update organizational charts.
  • Assist in the collection and organization of HR data for department use.
  • Run reports for department audits and follow up as needed.
  • Coordinate scheduling of and assist in preparation for HR events.
  • Order flowers and send gifts to employees as needed.
  • Order and maintain HR office supplies.
  • Reconcile monthly department P-Card and submit for processing.
  • Prepare and submit department invoices for payment on a regular basis.
  • Manage the Student Employment email Inbox and respond to inquiries in a timely manner.
  • Oversee entry of student employee hiring data into HRIS and index into the document storage system.
  • Post and update student job postings in the applicant tracking system as requested.
  • Implement changes annually when the State of Minnesota increases minimum wage.

Requirements

  • High school diploma or GED equivalent, required.
  • Minimum one (1) year HR related experience, required.
  • Minimum one (1) year administrative experience, required.
  • Excellent interpersonal skills with ability to interact calmly with a variety of individuals.
  • Strong attention to detail with ability to effectively plan and prioritize tasks.
  • Excellent organization and time management skills.
  • Ability to maintain confidential information.
  • Ability to provide strong, efficient, and timely customer service.
  • Intermediate level computer proficiency.
  • Excellent verbal and written communication skills.
  • Familiar with labor and employment law and HR policies.

Nice-to-haves
