About the position

The HR Business Administrative Specialist role is a temporary position focused on providing administrative support within a legal team environment. The ideal candidate will be a self-starter with strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. This role requires excellent communication skills and a proactive approach to problem-solving, with an emphasis on continuous improvement and process automation.

Responsibilities

  • Maintain exceptional attention to detail and become proficient with necessary systems such as Legal Tracker, SAP, and Ariba.
  • Exhibit a high level of professionalism while maintaining confidentiality and exercising discretion in interactions with personnel and third parties.
  • Act as a strong team player, being resourceful, highly organized, and self-motivated, while also taking initiative and problem-solving independently.
  • Demonstrate a strong command of Microsoft Office suite, including Excel, PowerPoint, Word, OneNote, and Teams, as well as email and calendar software (Outlook).
  • Explore, learn, and adapt new technologies and features to create efficiencies, including Power Automate and Power BI.
  • Work independently while prioritizing and managing multiple tasks in a fast-paced, detail-oriented, and deadline-driven environment.
  • Exhibit excellent organization, analysis, and time management skills.
  • Communicate effectively both verbally and in writing, and maintain strong interpersonal skills.

Requirements

  • Bachelor's degree required.
  • 4 years of relevant experience in administrative support or similar roles.
  • 2 years of experience with Microsoft Office suite is required.
  • 1 year of experience with SAP is required.
  • 1 year of experience with finance-related tasks is required.
  • 1 year of experience with expense reports is required.
  • 1 year of experience with travel arrangements is preferred.
  • 1 year of experience with legal processes is preferred.

Nice-to-haves

  • Experience with Concur (2 years preferred).
  • Experience with Purchase Orders (2 years required).
  • Experience with Legal Tracker (1 year preferred).
