About the position

The HR Coordinator at Fiserv Forum is responsible for providing clerical functions and administrative support for food service programs. This role is essential in maintaining the smooth operation of HR functions within the organization. The HR Coordinator will be the first point of contact for inquiries, ensuring that all communications are handled in a professional and client-centric manner. This position requires a high level of confidentiality, particularly when dealing with personnel files and sensitive employment documents. The HR Coordinator will assist management in preparing various employment and labor relations documents, including disciplinary notices, and will play a key role in staffing by finding replacements for employees who call out on short notice. In addition to these responsibilities, the HR Coordinator will maintain accurate records of students eligible for free and reduced-priced lunches, enter weekly cash sales and meal counts into the computer system, and perform daily bank deposit reconciliations. The role also involves processing vendor invoices for payment, ensuring that all calculations are correct and that pricing aligns with bid specifications. Monthly vendor statement reconciliations and preparation of state claim forms for reimbursement are also part of the job. The HR Coordinator will assist in preparing end-of-month financial reports and is expected to attend in-service and safety meetings as required. Maintaining a clean and safe work environment is crucial, and the HR Coordinator must perform all duties safely and effectively. Other duties may be assigned as needed, making this a dynamic and engaging role within the organization.

Responsibilities

  • Answer telephones and direct inquiries in a professional and client-centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, students' parents, and Supervisor.
  • Complete and maintain accurate and up-to-date records of students eligible for free and reduced-priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment, ensuring addition is correct and checking item prices against bid specifications.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end-of-month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain a clean and safe work environment; ability to perform job safely.
  • Perform other duties as assigned.

Requirements

  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in using computer systems for data entry and financial reconciliation.
  • Excellent communication skills, both verbal and written.
  • Ability to work effectively in a team environment and build good working relationships.
