About the position

The HR Coordinator/Talent Acquisition Specialist at Dillard University plays a crucial role in supporting the Human Resources Department and the Director of Human Resources. This position is responsible for providing high-level organization and administrative support, ensuring that the HR department operates smoothly and efficiently. The HR Coordinator serves as the first point of contact for the department, offering customer support, managing front office coverage, and addressing general inquiries from staff and visitors. This role is essential in maintaining a positive and professional image of the HR department within the university community. In addition to front office responsibilities, the HR Coordinator will manage the recruitment functions of the department. This includes posting job openings for both internal and external vacancies, overseeing the HR Talent Module for new applicants and hires, and executing full life cycle recruiting activities for all positions within assigned areas. The coordinator will collaborate closely with hiring managers and HR business partners to understand hiring needs and develop effective recruitment strategies that align with the university's business objectives. The position also involves processing new hires through the HRIS Information Systems, managing the I-9 process via E-Verify, and ensuring compliance with recruitment policies and programs. The HR Coordinator will prepare and maintain personnel records for new hires and transfers, process employment verifications and background screenings, and assist in planning HR employee events and recognition activities. This role may require occasional evening and weekend work as needed, and the coordinator will also support various HR internal projects as assigned by the Assistant Vice President (AVP) of Human Resources.

Responsibilities

  • Serve as the first point of contact for the Human Resources Department, providing customer support and front office coverage.
  • Post positions for open internal and external vacancies.
  • Manage the HR Talent Module for all new applicants and new hires.
  • Manage the recruitment functions of the department and provide office support in onboarding, training, employee recognition, and benefits open enrollment.
  • Process new hires in HRIS Information Systems and manage the I-9 process through E-Verify.
  • Collaborate with hiring managers and HR business partners to understand hiring needs and position profile requirements.
  • Develop and implement recruitment strategies in concert with the Director to support business strategies.
  • Execute full life cycle recruiting activities for all positions in assigned areas.
  • Attend meetings and events as required.
  • Support HR compliance by enforcing recruitment policies and programs.
  • Maintain positive business relationships with area leaders and HR personnel.
  • Process federal and student work-study hires.
  • Support and participate in HR internal projects.
  • Prepare and file personnel records for new hires, transfers, and other employment activities.
  • Process employment verifications and background screenings, notifying staff when cleared.
  • Assist in the planning and execution of HR employee events and recognition.

Requirements

  • Bachelor's degree in business, human resources, or related fields is required.
  • 2 years of recruitment experience in human resources or administrative support in a business or education-related field, preferably in higher education.
  • Experience with E-verify, ADP, or other payroll and HRIS systems preferred.
  • Considerable experience working with Microsoft Office, Access, Excel, PowerPoint, and Outlook.

Nice-to-haves

  • SHRM Certification preferred.
  • Active participation in CUPA-HR is a plus.
