About the position

Robert Half is seeking an experienced Administrative Assistant to support executive leadership in Louisville, Kentucky. The role involves managing schedules, travel arrangements, and various administrative functions while ensuring compliance with legal and regulatory requirements. The ideal candidate will possess strong communication skills and the ability to thrive in a fast-paced environment.

Responsibilities

  • Organize, schedule and coordinate meetings, high-volume appointments, and travel arrangements.
  • Maintain confidential data, support budget creation, and analyze variances.
  • Manage corporate credit cards, expenses, and reconciliations.
  • Implement and monitor programs as directed by executive leadership and see the programs through to completion.
  • Generate memos, emails, and reports when appropriate.
  • Maintain up-to-date filing system, ensuring that all necessary documents are easily accessible.
  • Act as a liaison with other departments and outside agencies, including high-level executives.

Requirements

  • Associate or bachelor's degree in business administration or similar field preferred
  • Minimum 3+ years of experience as an Administrative Assistant
  • Excellent communication skills, both written and verbal
  • Proven experience in ensuring company compliance with all legal and regulatory requirements
  • Ability to multi-task and prioritize workload in a fast-paced environment
  • Knowledge of administrative office procedures and systems
  • Skilled in calendar management and scheduling
  • Experience in managing and submitting expense reports.
