About the position

Oral Roberts University is seeking a highly capable Office Administrator to join our Human Resources team. This full-time position serves as the primary point of contact for departmental interactions, playing a vital role in the department's success through overseeing essential administrative tasks, offering excellent customer support, and contributing to the smooth operation of the Human Resources department. The ideal candidate will possess proven administrative experience, be able to navigate a fast-paced environment, and thrive within a highly collaborative team while taking ownership of key administrative functions. Attention to detail and the ability to handle confidential information with discretion is essential to this role. In this role, the Office Administrator will be responsible for providing administrative and data support for the Human Resources Department. This includes screening incoming phone calls and emails, scheduling meetings when necessary, and providing initial support to office visitors. The administrator will create and update records, logs, and databases with personnel information and other data, as well as assist with the maintenance of confidential personnel files, ensuring compliance with applicable legal requirements. Additionally, the role involves reviewing and organizing all archived and active employee personnel files, purging when necessary. The Office Administrator will also assist with the planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and celebrations. Maintaining supplies inventory by checking stock levels, anticipating needed supplies, and placing supply orders for department team members is another key responsibility. Furthermore, the administrator will monitor and administer departmental purchasing functions, ensuring compliance and timely submission of requisitions and work orders utilizing the appropriate software and platforms. A variety of other administrative duties will also be assigned as needed.

Responsibilities

Requirements

  • High school diploma or equivalent; college degree preferred.
  • Minimum of 2+ years of proven experience as an office administrator, office assistant, or in an administrative role.
  • Administrative experience within a Human Resources environment is preferred.
  • Excellent problem-solving skills, leadership, and time management skills.
  • Ability to work both as a team member and independently.
  • Strong multi-tasking and time-management skills, with the ability to prioritize tasks.
  • Ability to work with individuals from diverse academic, cultural, and ethnic backgrounds.
  • Proven ability to work in fast-paced and high-pressure environments with minimal supervision.
