The HR Onboarding Specialist will play a crucial role in facilitating, coordinating, and guiding candidates through the onboarding process. This position requires close collaboration with Field Recruiters to ensure high engagement and retention throughout the full-cycle recruitment process. The Onboarding Specialist will serve as the primary point of contact for candidates, ensuring a smooth transition into the company. Responsibilities include setting appointments for onboarding, collecting and verifying new hire documents, coordinating training with HR team members, and responding to inquiries from hiring managers and candidates. The ideal candidate will possess strong communication skills, adaptability, and effective time management abilities to thrive in a fast-paced environment.

Responsibilities

  • Partner with Field Recruiters to lead candidates through the onboarding process.
  • Serve as the primary point of contact for all candidates undergoing the onboarding process.
  • Set appointments for onboarding with employees and collect/verify new hire documents are complete.
  • Coordinate onboarding and ongoing training with other HR team members to meet success goals.
  • Receive and respond to questions from hiring managers, applicants, and candidates to facilitate navigation of talent acquisition processes, procedures, and programs.
  • Initiate and facilitate appropriate processes related to hiring and onboarding to promote timely, effective filling of positions.
  • Prepare and collect required supporting documentation and approvals for processes to ensure adherence with internal controls and external requirements.
  • Engage candidates through multiple channels to enhance the candidate experience.
  • Maintain appropriate, timely tracking of candidates as they move through the interview stages within the Applicant Tracking System (ATS).
  • Support other recruiting-related administrative tasks as necessary.

Requirements

  • Bachelor's degree is required.
  • Extremely strong communication skills with the confidence to deescalate situations.
  • Adaptability to manage competing priorities and stakeholders in a fast-paced work environment.
  • Time management and prioritization skills to ensure assigned responsibilities are completed efficiently.
