About the position

The HR Operations Coordinator will play a crucial role in supporting the background screening process for new hires, re-hires, and third-party workers at Caresoft Inc. This position is temporary and full-time, with a duration of at least six months. The coordinator will be responsible for executing the background screening process in compliance with regulatory requirements and client policies. This includes managing the employee re-screen program, which involves sending communications, adhering to re-screening timelines, and addressing employee inquiries throughout the process. In addition to background screening, the coordinator will support various programs related to employee eligibility to work, including right to work verification, I-9 verification, and regulatory reference completion. The role requires the adjudication of background screening reports according to established standards, utilizing sound judgment and following a predefined escalation matrix for any issues that arise. Maintaining accurate documentation in line with client policies and local privacy laws is essential. The coordinator will also need to stay informed about the regulatory landscape affecting the screening process to ensure a smooth user experience. A key aspect of this role is the ability to identify opportunities for process improvement and enhance the user experience throughout the screening process. The coordinator will be expected to proactively suggest solutions to leadership to streamline operations and improve efficiency.

Responsibilities

  • Execute the background screening process for new hires, re-hires, and third-party workers in compliance with regulatory requirements and client policies.
  • Manage the employee re-screen program, including sending communications and adhering to re-screening timelines.
  • Answer employee questions throughout the re-screening process.
  • Support programs related to employee eligibility to work, including right to work and I-9 verification.
  • Adjudicate background screening reports to established standards and mitigate risk through sound judgment.
  • Maintain all relevant documentation aligned with client policies and local privacy laws.
  • Stay up to date with the regulatory landscape impacting the screening process.
  • Recognize opportunities to streamline processes and enhance user experience throughout the screening process.
  • Proactively seek and suggest solutions to leadership.

Requirements

  • Bachelor's degree required.
  • Ability to manage a large volume of varied requests with accuracy and speed.
  • Solid verbal and written communication skills in English.
  • Ability to effectively communicate with all levels of candidates/employees via phone and email.
  • Adherence to strict procedures and documentation requirements.
  • Maintain a high degree of confidentiality and discretion.
  • Experience working across cultures and in a matrixed environment (preferred).
  • Proven ability to work independently and build high-performing partnerships, both locally and globally.
  • Proficient in Microsoft Excel, Outlook, and PowerPoint.
