About the position

The HR Operations Manager for North America at Quadient is a pivotal role that focuses on shaping and defining the overall People Operations strategy and operating model for the NORAM HR team. This position is responsible for a variety of functions including Employee Experience, Immigration, Contingent Workforce Management, HR Support Infrastructure, and HRIS troubleshooting, particularly with Workday and ADP Vantage. The HR Operations Manager will work closely with the Vice President of Human Resources to ensure that the HR operations are aligned with the company's strategic goals and objectives. In this role, the HR Operations Manager will proactively identify gaps and challenges within the HR function, collaborating with Human Business Resource Partners (HBRPs) to bring insights and recommendations to improve the overall employee experience. The manager will oversee critical HR programs and processes such as immigration, onboarding, contingent workers, and offboarding, ensuring that all procedures are executed efficiently and in compliance with relevant laws and regulations. The HR Operations Manager will also be responsible for maintaining the HR budget for the NORAM region, managing purchase orders for HR services, and driving the education of HRBPs on available resources and tools. Building trusted relationships with HRBPs, senior leaders, and employees is essential, as is contributing to effective communication regarding HR programs and policies. The role requires a strong focus on data insights and internal audits to enhance the HR function continuously.

Responsibilities

  • Plan, organize, and coordinate HR operations and activities in NORAM.
  • Identify gaps, challenges, and opportunities in partnership with HBRPs and provide insights to the head of HR.
  • Manage and administer immigration, onboarding, contingent workers, reward and recognition, and offboarding processes.
  • Supervise the HR Operations function and support escalations related to employee inquiries and documentation requests.
  • Own the relationship with the external immigration agency and ensure compliance with immigration laws.
  • Provide consistent interpretation and application of HR policies across the region.
  • Partner with People Insights team to optimize Workday and ensure data integrity.
  • Collaborate with the compliance team on people-related policies and new compliance requirements.
  • Maintain the regional intranet and ensure documents are reviewed and accurately applied.
  • Track and maintain the HR budget for NORAM, including managing POs for HR services.
  • Educate HRBPs on resources, tools, and support channels needed.
  • Build trusted advisory relationships with HRBPs, COEs, senior leaders, and employees.
  • Contribute to strengthening communication between the business and employees regarding HR programs.
  • Share data insights on themes across the employee lifecycle.
  • Lead internal audits from an HR perspective.

Requirements

  • Bachelor's degree in Human Resources, Finance, Business Administration, or related field.
  • 10+ years of related Human Resources experience in a dynamic environment.
  • Strong understanding of immigration, EEO, AA, and other relevant People-related policies and laws.
  • Excellent interpersonal and written communication skills.
  • High level of attention to detail and accuracy.
  • Exceptional organizational skills including multi-tasking.
  • Proven experience with HRIS management and administration.
  • Proven knowledge of Workday and ability to support users.
  • Experience in project management.
  • Strong critical thinking and problem-solving skills.
  • Proven financial acumen and budget management experience.
  • Ability to drive improvements and simplify workflows.
  • Strong execution skills with a bias for action.
  • Ability to see the big picture and work collaboratively.
