About the position

The HR Operations Specialist is a fixed-term position at Stanford University, focused on enhancing the efficiency and accuracy of HR transaction processing. This role involves processing I-9 forms, onboarding new employees, and managing high-volume HR transactions while ensuring compliance with university policies. The specialist will work closely with local HR management and central HR staff to promote best practices and improve operational processes within the HR community.

Responsibilities

  • Process I-9 forms for new employees, rehires, and reverifications.
  • Provide centralized onboarding services for new hires, including assistance with Stanford ID and direct deposit setup.
  • Handle a high volume of HR transactions, including hiring, personnel changes, and reclassifications, following standard operating procedures.
  • Interpret and apply HR policies to answer client questions and process transactions accurately.
  • Continuously learn and adapt to new policies and procedures for personnel transactions and inquiries.
  • Provide guidance to clients on submitting transactions to the HR Operations team and using the HR system effectively.
  • Escalate complex HR transactions to the Team Lead or Senior Specialists as needed.
  • Audit HR data and process corrections to employee records based on audits conducted by school and VP areas.
  • Contribute to the continuous improvement of HR processes and procedures.

Requirements

  • High school diploma, G.E.D., or equivalent and two years of relevant experience or a combination of education and relevant experience.
  • Strong attention to detail and accuracy in processing HR transactions.
  • Ability to learn and apply general HR policies and problem-solving skills.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Ability to meet deadlines and follow through with assignments.
  • Excellent oral and written communication skills.
  • Strong interpersonal and customer service skills.
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
  • Familiarity with HR information systems, such as PeopleSoft.
