About the position

The HR Operations Specialist at The Oncology Institute of Hope and Innovation (TOI) plays a crucial role in the Teammate Services Operations (TSO) support team. This position is responsible for providing day-to-day leadership and ensuring that the team delivers consistent and timely support to the business, with a strong focus on enhancing the customer experience. The specialist will manage the scheduling, assignment, and daily workflow of the TSO support team, collaborating closely with HR partners, subject matter experts (SMEs), and other department leaders to create, deliver, and manage tools, reporting, and training that support all core TSO processes. In addition to leading the team, the HR Operations Specialist will own the internal service request process using the Zendesk system, recommending improvements based on teammate feedback to enhance service delivery. The role also involves standardizing HR processes to support automation where feasible, leveraging tools and systems to optimize productivity and improve the overall teammate experience. The specialist will be responsible for maintaining personnel files and other HR records, managing updates to the Human Resources Information System (HRIS), and supporting various employee lifecycle events such as onboarding, talent development, and performance management. The HR Operations Specialist will assist with internal and external audits, track compliance with mandatory training, coordinate employee termination procedures, and respond to frequently asked questions from teammates regarding policies, benefits, and hiring processes. Additionally, the specialist will help plan and execute special events, such as benefits enrollment and employee recognition events, while maintaining the integrity and confidentiality of HR files and records. This role may also involve performing other duties and special projects as assigned, making it a dynamic and integral part of the HR team at TOI.

Responsibilities

  • Lead the scheduling, assignment, and daily workflow of the TSO support team.
  • Partner closely with HR Partners, SMEs, and other department leaders to create, deliver, and manage tools, reporting, and training in support of all core TSO processes.
  • Ensure the TSO team provides consistent and timely support to the business, focusing on the customer experience.
  • Own the internal service request process by utilizing the Zendesk system.
  • Recommend improvements from teammate feedback for better service delivery.
  • Standardize HR processes to support automation where feasible and leverage tools/systems to optimize productivity.
  • Create and maintain personnel files and other human resources records.
  • Manage and update the Human Resources Information System (HRIS) and other HR-related systems.
  • Lead and support various employee lifecycle events related to onboarding, talent development, performance management, and maintaining employee data.
  • Assist with various internal and external audits and track compliance with mandatory training.
  • Coordinate employee termination procedures and ensure all necessary paperwork is completed and filed.
  • Answer frequently asked questions from teammates regarding standard policies, benefits, and hiring processes.
  • Assist with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Provide assistance in the absence of others as necessary.
  • Maintain the integrity and confidentiality of human resource files and records.
  • Perform other duties and special projects as assigned.

Requirements

  • 3-5 years of HR experience.
  • Bachelor's degree in human resources or related field and/or equivalent experience.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with or the ability to quickly learn human resource information system (HRIS) and similar computer applications.
